About the position

The Ohio Attorney General's Office is seeking a motivated and hard-working individual for a Legal Secretary position within the Special Prosecutions Section. This role is essential in providing secretarial support in a collaborative team environment, primarily located in Cleveland, Ohio. The successful candidate will be responsible for a variety of clerical, administrative, and legal support tasks that are crucial for the functioning of the office. This position operates on a hybrid schedule, combining in-person and remote work, with potential adjustments based on training and operational needs. In this role, the Legal Secretary will perform highly confidential legal secretarial work for office attorneys. This includes filing briefs, motions, and other documents both physically and electronically in state and federal court. The candidate will also provide litigation support, which involves preparing exhibits, tables of contents, and tables of authorities. From rough written or electronic instructions, the Legal Secretary will produce typed copies of legal documents, confidential materials, and correspondence, utilizing Microsoft Office and other software applications. Attention to detail is paramount, as the candidate will be responsible for proofreading and correcting all materials prior to attorney review. Additionally, the Legal Secretary will compose or independently respond to routine correspondence, schedule meetings and appointments, scan and process mail for the section, and manage the main phone line. This position is integral to ensuring that the Special Prosecutions Section operates smoothly and efficiently, supporting the attorneys and staff in their legal duties.

Responsibilities

  • Perform highly confidential legal secretarial work for office attorneys
  • Physically and electronically file briefs, motions, and other documents in state and federal court
  • Provide litigation support, including preparation of exhibits, table of contents, and table of authorities
  • Produce typed copies of legal documents, confidential materials, and correspondence from rough written or electronic instructions
  • Proofread and correct all materials prior to review by attorneys
  • Compose or independently answer routine correspondence to clients, staff, or the general public
  • Schedule meetings and appointments
  • Scan and process mail for the section
  • Answer the main phone line within the section

Requirements

  • Completion of Associate core coursework to qualify for a secretary/administrative assistant diploma/certificate or closely related field from an accredited career school or community college
  • Completion of Associate's degree in secretarial/administrative professional science or closely related field from an accredited career school or community college
  • Completion of Bachelor's degree or higher in any related field
  • 6 months' work experience performing legal secretary duties in a law firm or legal setting
  • 1 course or 1 month experience in public relations
