About the position

The law firm located in downtown Orlando is seeking a dedicated and experienced Legal Secretary to join their team. This position requires a minimum of 3 years of experience in a legal environment, where the candidate will play a crucial role in supporting attorneys and ensuring the smooth operation of the firm. The Legal Secretary will be responsible for a variety of tasks that are essential to the legal process, including managing schedules, deadlines, and communications with clients. Responsibilities

  • Scheduling appointments and managing deadlines for attorneys.
  • Screening phone calls and directing them appropriately.
  • Maintaining and continuously updating electronic case files with all papers and pleadings.
  • Assisting attorneys with preparation for depositions and hearings.
  • Preparing hearing notebooks and compiling documents in response to production requests.
  • Drafting production requests and interrogatories, as well as rough drafts of pleadings.
  • Familiarizing with and adhering to Federal Court's rules and procedures, as well as Florida Rules of Civil Procedure and Business Court's rules.
  • Communicating effectively with clients and managing their inquiries.
  • Dictating and transcribing legal documents as needed.
  • Filing and maintaining documents through CM/ECF and Florida State E-Filing Portal.
  • Providing trial preparation and support to attorneys.
  • Performing various administrative functions, including mileage reimbursement forms, scheduling depositions, and coordinating hearings.
  • Drafting correspondences to clients and the court.
  • Managing case files and ensuring all documentation is accurate and up-to-date.

Requirements

  • At least 3 years of experience as a Legal Secretary or in a similar role.
  • Strong scheduling and time management skills.
  • Proficient in screening phone calls and managing communications.
  • Experience in maintaining electronic case files and legal documentation.
  • Ability to assist attorneys with deposition and trial preparation.
  • Familiarity with Federal Court's rules and procedures.
  • Knowledge of Florida Rules of Civil Procedure and Business Court's rules.
  • Excellent communication skills, both written and verbal.
  • Experience with dictation and transcription of legal documents.
  • Proficient in filing and maintaining documents through CM/ECF and Florida State E-Filing Portal.
  • Strong administrative skills and attention to detail.
