About the position

Beacon Hill is working with a company based in Portland on a temporary Legal Specialist (Paralegal) position estimated to last a year. This role is essential for assisting with the administration of Board meeting materials for two public companies, ensuring that all necessary documentation is prepared and maintained accurately. The position requires a keen attention to detail and the ability to manage various corporate filings, including obtaining and maintaining business licenses and corporate organization documents. The successful candidate will support the documentation of Board meetings and related records, and may also be tasked with special assignments or projects as needed. This is a hybrid position, requiring two days a week onsite in Portland, OR, and three days of work from home, providing flexibility while ensuring that the essential tasks are completed efficiently. The ideal candidate will possess excellent written and verbal communication skills, as well as proficiency in Word and PowerPoint. While experience in Excel and SharePoint is desirable, it is not mandatory. The role demands a motivated, self-driven individual who can work independently and as part of a small team. Candidates should have experience managing due diligence and regulatory filings, and the ability to quickly adapt to new subject matter areas. Exceptional reasoning, analytical, and problem-solving skills are crucial, along with a strong work ethic and the ability to multi-task effectively. The position also requires professionalism and integrity, particularly when handling sensitive and confidential information. Overall, this role is suited for someone who is proactive, flexible, and committed to producing high-quality work in a timely manner.

Responsibilities

  • Assist with uploading and administration of Board meeting materials for two public companies.
  • Obtain and maintain various business licenses, corporate organization, foreign qualifications, and similar corporate filings.
  • Support corporate documentation of Board meetings and related records.
  • Perform special assignments or projects as needed.

Requirements

  • Demonstrated excellent written and verbal communication and interpersonal skills.
  • Proficiency with Word and PowerPoint software programs; some experience in Excel and SharePoint environment is desirable but not mandatory.
  • Requires a motivated, self-driven, independent, efficient, and resourceful team player and individual contributor.
  • Experience managing due diligence, regulatory filings, etc.
  • Ability to adapt to new subject matter areas easily and assimilate information quickly to develop additional areas of expertise.
  • Exceptional reasoning, analytical and problem-solving skills.
  • Attention to detail, excellent planning and organizational skills.
  • Professionalism and integrity and the ability to handle sensitive and confidential information.

Nice-to-haves

  • Experience with Diligent or similar Board platform is a bonus.
  • Some experience in Excel and SharePoint environment would be desirable.
