About the position

The Legal Workload Coordinator at Davis Brown Law Firm is responsible for overseeing and coordinating administrative workflow and tasks within the firm. This full-time position aims to ensure efficient coverage and smooth operations by managing workload distribution, prioritizing tasks, and assisting with implementing effective administrative processes. The role supports legal administrative assistants, paralegals, and attorneys, contributing to a collaborative work environment with hybrid work options.

Responsibilities

  • Allocate administrative tasks to support staff based on their skills, availability, and workload capacity.
  • Determine the urgency and importance of various tasks and prioritize accordingly.
  • Identify inefficiencies in the administrative process and work with the HR Director to develop strategies to streamline workflow and improve productivity.
  • Monitor quality of work being performed and provide regular status updates to the HR Director.
  • Act as point of contact for administrative support staff for inquiries and requests related to coverage and workflow.
  • Facilitate communication between team members to ensure coordination and collaboration on administrative tasks and projects.
  • Provide support to employees regarding HR policies and procedures.
  • Act as a liaison for new Administrative Assistant and Paralegal hires, coordinating their first week training schedule.
  • Provide training and support to team members to enhance their skills and competencies.
  • Provide back-up coverage for administrative assistants during periods of insufficient staffing or when additional projects arise.

Requirements

  • High school diploma required; Associate's/Bachelor's Degree preferred.
  • 2+ years' experience as a legal assistant or relevant administrative position.
  • Previous experience in workload coordination or a supervisor position is preferred.
  • Paralegal or Legal Assistant certificate preferred.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail; commitment to delivering high quality work.
  • Superior interpersonal skills.
  • Ability to adapt to changing priorities and interact with varying personalities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in MS Office Suite; prior experience with legal software preferred.
