About the position

The Lending Executive Assistant at United Fidelity Bank plays a crucial role in supporting the Executive Vice President (EVP) and Chief Lending Officer (CLO) by managing a variety of administrative tasks that are essential for the smooth operation of the lending department. This position requires a proactive individual who can handle multiple responsibilities while maintaining a high level of professionalism and confidentiality. The Executive Assistant will be responsible for managing the CLO's calendar, which includes organizing, prioritizing, and scheduling appointments and meetings, both virtual and in-person. Additionally, the role involves managing the CLO's email inbox, ensuring timely responses, and redirecting inquiries as necessary. In this position, the Executive Assistant will work closely with the CLO to provide administrative support for meetings and deliverables required by regulators, internal audit, and other agencies. Coordination with other Executive Team members and Lending leaders is essential to ensure seamless communication and attendance at meetings, as well as adherence to travel guidelines. The Executive Assistant will also be responsible for formatting internal and external communications, including memos, emails, presentations, and reports, while managing the flow of information accurately and promptly. The role includes handling invoice and expense report payments, submitting requests for purchase orders, and processing invoices through the payment system. The Executive Assistant will coordinate with facilities and internal events staff to organize team meetings and other events, and partner with the Corporate Secretary and relevant Executives to manage the CLO's Board-related materials. Furthermore, the Executive Assistant will assist the Lending leadership team with loan requests and special projects as assigned by the CLO, while maintaining confidentiality with all high-level documents and reports. Compliance with the Bank Secrecy Act under the guidance of the BSA Officer is also a critical aspect of this role.

Responsibilities

  • Manage and maintain the Chief Lending Officer's calendar, organizing, prioritizing, and scheduling appointments and meetings both virtual and in person.
  • Manage the CLO's email inbox, prioritizing, responding, or redirecting as necessary.
  • Provide administrative support for all meetings and deliverables required by regulators, internal audit, and other agencies.
  • Coordinate with other Executive Team members and Lending leaders to ensure coordination across the team.
  • Format internal and external communication - memos, emails, presentations, and reports.
  • Manage information flow in a timely and accurate manner.
  • Handle invoice and expense report payments.
  • Submit requests for purchase orders, process, and track invoices through the payment process.
  • Coordinate with facilities and internal events staff to organize team meetings and other events.
  • Partner with Corporate Secretary and relevant Executives to manage the CLO's Board related materials required for submission and/or distribution.
  • Assist the Lending leadership team with loan requests needing action, new, renewals, extension, etc.
  • Perform special projects as assigned by the CLO.
  • Perform ad hoc administrative tasks.
  • Maintain confidentiality with all high-level confidential documents and reports.
  • Perform all duties in relation to the Bank Secrecy Act under the guidance of the BSA Officer.

Requirements

  • Demonstrated track record as an Executive Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, TEAMS).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Exceptional written and verbal communication skills.
  • Ability to prioritize tasks and meet deadlines.

  • Five (5) plus years of experience as an executive/corporate assistant desired.
  • Two (2) years of banking experience required.
