About the position

The Licensing Specialist (Admin Asst III) position within the Division of Gaming is responsible for ensuring that limited gaming is conducted honestly and fairly. This role involves processing applications for occupational licenses, conducting background checks, and providing administrative support to the Division. The position requires strong customer service skills and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Manning the front desk of Gaming Division buildings and greeting visitors.
  • Answering phones, transferring inquiries, and processing visitors.
  • Accepting and processing applications and receiving payments for services.
  • Conducting background checks on applicants and consulting with them on licensure issues.
  • Following up on application deficiencies and making licensing decisions according to regulations.
  • Processing various applications such as changes of ownership and modifications of premises.
  • Disseminating information and responding to licensing inquiries from the public and stakeholders.
  • Performing front counter functions including checking in applicants and answering questions.
  • Electronically fingerprinting applicants for licensure and ensuring compliance with standards.
  • Reconciling cash, check, credit card, and money order receipts and preparing daily deposits.

Requirements

  • Three years of general clerical experience in an administrative or office support role.
  • Experience providing exceptional customer service in-person or via email.
  • Data entry experience, including entering information into databases.
  • Proficiency in using office equipment and software such as Microsoft Office and Google Apps.
  • Ability to review and compare data for accuracy and completeness.

Nice-to-haves

  • Previous experience conducting background checks using national databases.
  • Familiarity with Division of Gaming rules and regulations.
  • Excellent interpersonal skills for effective communication.
  • Experience using a multi-line phone system.
  • Cash handling experience.
