About the position

The Lifecycle Grants Manager at the University of Washington's Department of Neurological Surgery will serve as the primary resource for award sponsors, scientific collaborators, and university offices. This role involves managing faculty grants, particularly those focused on Native communities, and overseeing both pre-award and post-award operations to ensure compliance and effective financial management. The position requires collaboration with Principal Investigators and other stakeholders to optimize budget planning and reporting processes, while also providing mentorship and guidance to team members.

Responsibilities

  • Manage effort reporting for a subset of PIs, including monthly effort review and compliance reporting.
  • Develop monthly financial reports and conduct quarterly meetings with investigators to review financial spending and progress.
  • Provide guidance to Principal Investigators on budget planning and analysis based on performance metrics.
  • Partner with the Associate Director on post-award improvement efforts to enhance compliance and system processes.
  • Foster effective relationships with PIs and study teams to ensure smooth pre- and post-award operations.
  • Manage UW systems for tracking award activity and ensure compliance and accuracy.
  • Troubleshoot expenditure corrections and process no-cost extensions as needed.
  • Collaborate with PIs on budget variations and development questions.
  • Serve as a resource for lab managers and PIs regarding budget and performance queries.
  • Manage the reporting process with sponsors to ensure timely submissions.
  • Administer complex grant portfolios, ensuring deliverables are met and reports submitted accurately.
  • Establish subaward agreements with partnering institutions in collaboration with the Office of Sponsored Programs.
  • Work with non-research community partners to ensure grant deliverables are completed.
  • Manage all pre-award operations for a subset of PIs, including proposal preparation and submission.
  • Determine viability of proposed research and address resource allocation requirements.
  • Interpret and integrate institutional, federal, and sponsor guidelines into research administration operations.
  • Collaborate with investigators on budget development and act as a liaison with administrators on submissions.
  • Critically assess budget proposals for accuracy and compliance with guidelines.
  • Provide strategic assistance on research revenue cycle policies and compliance matters.
  • Promote compliance and risk management in accordance with UW and sponsoring entities' policies.
  • Monitor and assess compliance around research and fiscal processes, improving systems as needed.
  • Mentor and provide guidance to grant and administrative team members.
  • Oversee staffing needs and manage recruitment, hiring, and onboarding of new staff.
  • Train supervised staff and ensure they have the necessary tools for their tasks.
  • Manage performance of assigned staff and conduct annual performance reviews.

Requirements

  • Master's degree in Business, Accounting, Public Health, Social Sciences, or related discipline.
  • Four years of related experience, including at least 3 years of fiscal or project management experience.
  • Experience in grants and contracts management in an academic, research, non-profit, or hospital setting.
  • Excellent organization skills with strong attention to detail and problem-solving abilities.
  • Advanced skills with Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook.
  • Excellent written, verbal, and interpersonal communication skills.
  • Customer-service orientation and initiative.
  • Self-starter with the ability to work independently and make decisions.
  • Strong collaborative and leadership skills.

Nice-to-haves

  • Familiarity with UW systems and software programs, including Workday and SAGE.
  • 3+ years of experience in grant and contract management in relevant settings.
  • Prior experience overseeing large research programs.
  • Experience in a central office setting related to sponsored projects or grant finance.
  • Additional education or certificates in administration, finance, or research administration.
  • Familiarity with sponsor proposal/management systems like Proposal Central or eRA Commons.
  • Experience working with Native communities, non-profits, and small businesses.
