About the position

Paul & Perkins, PA, a small law firm located in Maitland, FL, is seeking a motivated and customer service-oriented Legal Assistant to join our team. This full-time position requires a dedicated individual who can assist our lawyers and paralegals with various day-to-day tasks related to personal injury cases. The standard work schedule is Monday through Friday from 8:30 AM to 5:30 PM, providing a stable work environment with consistent hours. As a Legal Assistant, you will be responsible for a range of administrative duties that are crucial to the smooth operation of our legal practice. Your tasks will include coordinating meetings, scheduling appointments, answering and directing telephone calls, and maintaining and organizing electronic case files. You will also be tasked with updating files with the latest case status and information, ensuring that all documentation is accurate and readily accessible. In addition to these responsibilities, you will be involved in scheduling hearings, depositions, mediations, and conferences, as well as compiling and organizing documents and preparing binders or folders for various legal proceedings. You will also assist with the intake of new calls from potential clients and be responsible for requesting and organizing medical and billing records as needed. This role requires a high level of attention to detail and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Assist lawyers and paralegals on day-to-day tasks relating to personal injury.
  • Coordinate meetings and schedule appointments.
  • Answer and direct telephone calls.
  • Maintain and organize electronic case files.
  • Update files with case status and information.
  • Schedule hearings, depositions, mediations, and conferences.
  • Compile and organize documents and prepare binders or folders.
  • Edit client legal files in database format by uploading documents, reports, and attachments.
  • Assist with intake of new calls from potential clients.
  • Request and organize medical and billing records.

Requirements

  • High School graduate or equivalent.
  • Must have 1 year experience as a legal assistant or in a similar role.
  • Excellent interpersonal and customer service skills to communicate effectively with attorneys, clients, vendors, and staff.
  • Ability to operate a multi-line telephone system and office equipment such as computers, printers, scanners, and copiers.
  • Proficient in Microsoft Office applications.
  • Excellent verbal, written, and phone communication skills.
  • Strong attention to detail and highly organized.

Nice-to-haves

  • Bilingual (English and Spanish) is preferred.
  • Positive, upbeat attitude and patience in dealing with difficult visitors or calls.
  • Strong multi-tasking ability.
