About the position

The Litigation Legal Assistant at Armstrong Teasdale LLP plays a crucial role in providing administrative support to all litigation timekeepers within a collaborative team environment. This position is essential for ensuring an uninterrupted workflow in service, which is vital for the success of the litigation process. The assistant will be responsible for a variety of tasks that include drafting, reviewing, and proofreading legal documents and correspondence, ensuring that all materials are properly formatted and free of errors before distribution. This attention to detail is critical in maintaining the professionalism and accuracy of legal documentation. In addition to document management, the Litigation Legal Assistant will execute electronic court filings and download court pleadings, which requires familiarity with legal procedures and electronic filing systems. The role also involves maintaining both paper and electronic client files, organizing and filing documents in a designated order, and completing electronic scanning tasks. The assistant will conduct various accounting tasks, such as processing expenses, reimbursements, invoices, and pre-bills, as well as entering time into the firm's billing system and reviewing billing statements for accuracy. Supporting trial preparation is another key responsibility, which includes maintaining and tracking case chronology, managing multiple calendars, and scheduling systems. The assistant may also assist in preparing discovery production and scheduling depositions, perform conflict checks, draft engagement letters, and coordinate travel arrangements. Effective communication is essential, as the assistant will need to relay information and updates on projects to clients and timekeepers, ensuring that all parties are informed and aligned throughout the litigation process.

Responsibilities

  • Draft, review and proofread all documents and correspondence produced, checking for proper formatting, spelling and grammatical errors.
  • Execute electronic court filings and download court pleadings.
  • Maintain client files (both paper and electronic), organize and file documents in designated order, and complete electronic scanning.
  • Conduct accounting tasks, including processing expenses, reimbursements, invoices, pre-bills, and entering time into the firm's time and billing system.
  • Support trial preparation to include maintaining and tracking case chronology.
  • Manage upkeep of multiple calendars and scheduling systems.
  • Perform digital transcription tasks.
  • Assist in preparing discovery production and schedule depositions.
  • Perform conflict checks, draft engagement letters in connection with file opening, and complete the file opening process.
  • Coordinate and make travel arrangements.
  • Effectively track and manage CLE reporting.
  • Effectively communicate information and updates on projects with clients and timekeepers.

Requirements

  • High school diploma or equivalent.
  • 2-4 years office experience including proficiency in MS Office Suite.

Nice-to-haves

  • Legal office experience including general knowledge of litigation practices and electronic court filings.
