About the position

Kent Daniels & Associates is seeking a Litigation Secretary to support a team of 4 to 5 attorneys in a busy litigation and healthcare practice. The role involves preparing legal documents, managing schedules, and ensuring efficient communication within the team. The position is hybrid, requiring three days onsite in Downtown Los Angeles, CA, and offers a competitive salary range of $80,000 to $100,000 annually.

Responsibilities

  • Prepare accurate and properly formatted correspondence, memoranda, and other legal documents from handwritten drafts and transcription software.
  • Prepare government documentation or closing materials as appropriate for the practice of team attorneys and paralegals.
  • Prepare check requests, new case reports, run conflict checks, and open new files.
  • Prepare client billing, including review and edit of proformas as directed by billing attorney, preparation of cover letters, and mailing/emailing finalized bills to clients and the Accounting Department.
  • State and Federal court filing experience, including eFiling, is required.
  • Daily time entry as directed by individual team members.
  • Organize, scan, copy, fax, and file legal documents in paper files and in the document management system.
  • Schedule depositions, hearings, and meetings, organizing court reporters, conference rooms, catering, and coordinating schedules as appropriate for the practice of team attorneys and paralegals.
  • Facilitate the meeting of deadlines by keeping multiple agendas/calendars and providing timely reminders.
  • Answer telephone calls, take notes/messages, and redirect calls.
  • Coordinate travel arrangements for attorneys; process reimbursements and vendor invoices.
  • Create shell documents from firm-approved templates for use by attorneys, including automatic numbering.
  • Prepare court filings and follow up with attorney service regarding the status of filings.
  • Filing of documents with various state and district courts, as well as courts of appeal.
  • Create tables of contents (TOC) and tables of authorities (TOA); create and maintain current Proofs of Service and Service Lists.
  • Provide coverage for secretarial absences and assistance with overflow work within the assigned team.
  • Draft standard correspondence and other documents for team approval and use.
  • Maintain client lists, contact lists, and other electronic databases.

Requirements

  • 4+ years of experience supporting attorneys in a litigation environment, preferably with complex litigation and Labor & Employment experience.
  • Minimum high school diploma or equivalent; college degree is a plus.
  • Knowledge of and proficiency in current office technology, including MS Office (Outlook, Word, Excel, PowerPoint), iManage, Adobe PDF, Workshare Compare, and time and billing software (Elite/3E preferred).
  • Ability to type at least 60 wpm with a high degree of accuracy.
  • Ability to work in a team environment with attorneys and other colleagues.
  • Ability to effectively communicate verbally and in writing; detail-oriented with the ability to handle multiple projects simultaneously and meet deadlines.
