Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client in San Diego, CA. This full-time position offers a competitive salary ranging from $80,000 to $93,000 annually. The ideal candidate will have over 10 years of experience supporting multiple attorneys' practices, with extensive knowledge of state and federal judicial systems, particularly in labor and employment law. The role is hybrid, requiring 2-3 days onsite each week, and follows a Monday to Friday schedule, with working hours from either 8:00 am to 4:30 pm or 8:30 am to 5:00 pm. As a Litigation Secretary, you will be responsible for coordinating attorney support within a team setting, known as the Attorney Resource Team, as well as collaborating with other corporate departments such as calendar and billing teams. Your duties will include completing submissions to the Attorney Resource Team with thorough instructions and documentation to avoid duplicate requests, verifying court and other deadlines, and alerting attorneys accordingly. You will also create and update litigation matters in Virtual Binder, provide document processing support by creating Tables of Contents (TOCs) and Tables of Authorities (TOAs), and coordinate the filing and eFiling of documents with courts and administrative agencies. Additionally, you will maintain file organization in NetDocuments, create and submit New Client Matters (NCM), coordinate transcription of audio recordings, and manage the printing and assembling of documents with office services. Maintaining attorney contact lists through Outlook and the Client Relationship Management system (InterAction) will also be part of your responsibilities. You will be expected to submit a daily task log identifying projects and assignments, as well as review and revise client pre-bills. This position requires a strong understanding of court rules and eFiling/ECF procedures, along with advanced knowledge of Best Authority for producing TOCs and TOAs. Proficiency in MS Office (Word, Outlook, Excel) and Adobe, as well as experience with document management systems like NetDocuments, is essential. Excellent time management, organizational, and communication skills are crucial for effectively interacting with both internal and external parties.
