About the position

The Loan Operations Specialist at Exchange Bank plays a crucial role in supporting the overall credit function of the bank. This position is responsible for assisting bank lending staff to ensure that loans are accurately entered into the servicing system and addressing any inquiries from staff or customers. The specialist will provide lending support across all branches, ensuring compliance with banking regulations and internal policies. Familiarity with the rules and regulations concerning loans and general banking practices is essential for this role. Key responsibilities include reviewing credit files and loan documentation to ensure compliance with all regulations, maintaining checklists, and managing escrow accounts. The specialist will prepare initial escrow disclosures, update escrow disbursement amounts, and disburse escrow payments to payees. Additionally, the role involves running escrow analyses, maintaining the collection process, processing charge-off and non-accrual requests, and handling bankruptcy and foreclosure matters. The Loan Operations Specialist will also be responsible for preparing all loan closing documents, including modifications, and reporting and remitting Credit Life and Accident/Health Insurance. The position requires processing and maintaining loan participations, including reporting to the Small Business Administration and Farm Service Agency, as well as managing relationships with National Credit Reporting Repositories. The specialist will board mortgage loans to servicing systems and maintain all loan records. They will oversee the force-placed insurance program and review monthly flood positives and flood loans. As the primary information source for branch lending staff, the specialist will also serve as a backup for Loan Processors and may seek product sales and cross-selling opportunities and referrals as part of their duties.

Responsibilities

  • Assist bank lending staff with ensuring loans are correctly entered into the servicing system.
  • Answer questions from staff or customers regarding loans.
  • Provide lending support to all branches of the bank.
  • Review credit files and loan documentation for compliance with regulations.
  • Maintain checklists and review escrow accounts.
  • Prepare initial escrow disclosures and update escrow disbursement amounts.
  • Disburse escrow payments to payees and run escrow analyses.
  • Maintain the collection process and process charge-off/non-accrual requests.
  • Handle bankruptcy and foreclosure processes, including 1099-C reporting and legal fee subpoenas.
  • Prepare all loan closing documents, including modifications.
  • Report and remit Credit Life and Accident/Health Insurance.
  • Process and maintain loan participations, including reporting to the Small Business Administration and Farm Service Agency.
  • Board mortgage loans to servicing systems and maintain all loan records.
  • Oversee the force-placed insurance program and review monthly flood positives and flood loans.
  • Serve as the primary information source for branch lending staff and back up Loan Processors.
  • Perform additional job-related duties as assigned.

Requirements

  • High school diploma or GED required; Associate's or Bachelor's degree in Business or Banking preferred.
  • Minimum of two years of experience in lending, leasing, or accounting within the banking industry.
  • Strong communication skills to effectively interact with personnel and customers.
  • Proven problem-solving skills and ability to maintain/build customer relationships.
  • Knowledge of bank lending and leasing functions.
  • Working knowledge of accounting principles, real estate transactions, lending procedures, and the Uniform Commercial Code.
  • Ability to prioritize and handle multiple projects effectively.
  • Demonstrated integrity and adherence to policies and regulations.

Nice-to-haves

  • Experience with escrow accounts and disbursement processes.
