About the position

The Logistics and Event Coordinator at TechTrans International is responsible for planning and executing events from inception to completion, ensuring adherence to timelines and budgets while maintaining effective communication with all stakeholders. This role requires a high level of organization and the ability to manage complex logistics for various events, including those of a sensitive or international nature.

Responsibilities

  • Work closely with TTI staff and event points of contact (POCs) to plan events from start to finish based on training requirements, participants, and guidelines.
  • Assist with events of complex nature, large volume, and highly confidential or sensitive, potentially including international events.
  • Establish timelines and ensure all parties are aware and working within these timelines to meet target deadlines.
  • Adhere to budgets, provide budget monitoring, and perform invoice reconciliation.
  • Maintain daily records and data entry on information management systems.
  • Assist with contract negotiations, venue booking and reservations, and vendor agreements.
  • Coordinate event logistics, including transportation, childcare, material support, and post-event evaluations.
  • Problem solve and handle unforeseen event issues, quickly resolving emerging problems on the event day.
  • Maintain open communication and working relationships with established and prospective suppliers and vendors.

Requirements

  • Bachelor's Degree is preferred (or 5-7 years of equivalent work experience), preferably with a concentration in Hospitality or Procurement.
  • Event planning experience, hospitality experience, event and/or travel logistics or relevant working experience is preferred.
  • Event planning experience for government events is highly preferred.
  • Ability to oversee collaborative event planning for venue, food and beverage, travel, childcare, logistics, insurance, A/V, registration, invoicing, billing, and other areas as required.
  • Proficiency across the Microsoft Office Suite for reporting, communication, and database management.
