About the position

The Logistics Coordinator at Capstone Logistics LLC is responsible for ensuring timely deliveries and effective communication between vendors and customers. This role involves scheduling and dispatching vendors, managing work orders, and providing excellent customer service while adhering to company policies and procedures. The position requires strong problem-solving skills and the ability to make decisions under pressure.

Responsibilities

  • Schedule and dispatch vendors or independent contractors to appropriate locations based on customer requests, using radios, telephones, and dispatch software.
  • Communicate all pertinent data (customer locations, pickup types, scanning and temperature requirements, etc.) to vendors at the time of dispatch.
  • Receive, input, and distribute On Demand work orders, proof of deliveries (PODs), and manifests; prepare reports as required by management.
  • Serve as a point of contact for all vendors and independent contractors within route territories, informing them about traffic issues, construction, accidents, congestion, weather conditions, and other hazards.
  • Ensure all routes are covered by managing contacts with vendors and independent contractors.
  • Determine appropriate responses to emergencies, accidents, and breakdowns.
  • Communicate Chain of Custody standards (location scanning, specimen handling, parcel scanning, HIPAA and TSA compliance, etc.) as required by Priority Express customers.
  • Resolve vendor/independent contractor issues and escalate to vendor management if further assistance is needed.
  • Prioritize incoming telephone calls based on importance.
  • Provide support to the customer service team as needed or during peak work periods.
  • Ensure compliance with policies and procedures as defined in the Priority Express Employee Handbook.
  • Make decisions to determine the most appropriate delivery methods to meet or exceed customer service expectations.
  • Maintain accurate documentation on the status of each job within the dispatch POD and ensure all documentation is complete before jobs are cleared.
  • Perform other duties/tasks as assigned.

Requirements

  • Excellent verbal communication and problem-solving skills.
  • Proficient in Microsoft Word, Outlook, and general computer use.
  • Strong interpersonal skills; ability to foster teamwork and motivate/coach others.
  • Knowledge of local and regional geographical areas.
  • Ability to accurately and quickly read maps.
  • Capability to make optimal decisions under pressure and time constraints.
