About the position

The Sales Concierge plays a crucial role in providing a luxurious and welcoming experience for clients visiting the Sales Gallery. This position supports the Developer Services Team and Sales Team by managing various administrative tasks, ensuring the Sales Gallery is pristine, and facilitating smooth operations behind the scenes.

Responsibilities

  • Greet clients entering the Sales Gallery with a welcoming smile and service-oriented attitude.
  • Assist clients with beverages and the sign-in process until a Sales Agent is available.
  • Route calls and visitors to the appropriate individuals based on needs.
  • Notify Associates of incoming packages and paperwork, distributing as necessary.
  • Order and manage office, bathroom, and kitchen supplies.
  • Maintain cleanliness and organization of common areas, ensuring they are stocked and pristine.
  • Ensure conference rooms and open workspaces are kept in excellent condition.
  • Maintain a shared Google calendar for scheduled appointments and events.
  • Schedule maintenance and cleaning services for office equipment as needed.
  • Manage multi-function printers, ensuring they are stocked with paper and toner, and call for repairs when necessary.
  • Assist staff with the use of office equipment and technology.
  • Master office opening and closing procedures, including technology operations and signage placement.
  • Begin the registration process with prospective clients through the Guest Registration Form.
  • Complete daily data entry of registrant contact information into the customer database.
  • Maintain files of Broker Registration forms and ensure they are uploaded in appropriate databases.
  • Update and print pricing handouts for team use, retaining them on Google Drive.
  • Generate and distribute weekly and monthly reports to necessary parties.
  • Coordinate supplies, food, and refreshments for Broker Open Houses and on-site events.
