About the position

The Mail Services Specialist plays a vital role in the efficient processing, preparation, and delivery of mail across various Host-supported locations. This position is responsible for maintaining a precise daily schedule for the delivery of mail, packages, copy products, and stationery, ensuring that all items are mailed and delivered promptly. The Mail Services Specialist also oversees the stocking of mail and postage supplies, inspects deliveries, and processes shipment requests with Host vendors. Safeguarding deliveries from damage and tampering is a critical aspect of this role, along with responding to production needs as they arise. In addition to the core responsibilities, the Mail Services Specialist will deliver mail and packages to assigned locations according to a daily schedule. It is essential that all packages received and delivered are shipped or delivered on the same day, or that the consignee is informed of next-day delivery. The role requires checking and replenishing mail and postage supplies as necessary, auditing delivered items against delivery invoices, and approving or rejecting deliveries based on thorough inspections. The specialist must also check for contraband and ensure that all shipped packages are adequately protected against damage. The position may involve processing shipment requests with vendors, advising package owners of arrangements, and applying appropriate postage amounts and required identification to outgoing mail and packages. Additionally, the Mail Services Specialist will stock copy rooms and provide first response for copier fleet production needs, such as clearing jams and determining if a technician is needed. Other duties may include monitoring online production/copy requests, setting up conference rooms for client meetings, and answering telephones in a professional manner, directing calls, and taking messages. The role may also encompass other assigned duties as needed.

Responsibilities

  • Deliver mail, packages, copy products, and stationery to assigned group/location per daily schedule.
  • Ensure that all packages received/delivered are shipped and/or delivered the same day, or alternatively advise the consignee of next day delivery.
  • Check daily and replenish, if necessary, all mail and postage supplies.
  • Audit delivered items with delivery invoices.
  • Approve or reject deliveries based on inspections.
  • Check for contraband.

Requirements

  • High School diploma or GED equivalent required.
  • Minimum of 1 - 2 years of related work experience in warehouse, shipping, and receiving.
  • Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence.
  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisors.
  • Ability to effectively present information to an internal department and/or large groups of employees.
  • Comfortable meeting and engaging with new people with a warm and engaging demeanor.
  • Ability to assess circumstances, empathize, and offer help.
  • Basic knowledge of financial terms and principles.
  • Ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations.
  • Ability to solve problems in standard situations.
  • Basic analytical skills required.
  • Intermediate skills with Microsoft Office Suite, handheld mobile technologies, and applications.
  • Ability to use computer systems to record materials received and shipped.
  • Physical ability to assist with warehouse operations and able to lift 50 lbs.
  • Valid California Driver's License required for motor vehicle operation.
