About The Position

The Mail Clerk at the East-West Center is responsible for coordinating mail services, processing incoming and outgoing mail, and providing guidance on mail-related issues. This role emphasizes high levels of customer service and effective communication of policies and procedures, while also managing emergencies as needed.

Requirements

  • A combination of post high school education and directly related experience.
  • Strong written and verbal communication skills.
  • Ability to acquire and maintain knowledge of various policies and procedures.
  • Ability to organize time, tasks, and materials efficiently.
  • Ability to work effectively with people of diverse cultural backgrounds.
  • Ability to work under pressure of deadlines and maintain accurate files and records.
  • Ability to handle confidential material and make arithmetic computations accurately.
  • Possesses a valid driver's license and clean traffic abstract.
  • Knowledge of routine office and record keeping procedures, office machines, and multiple computer systems.

Nice To Haves

  • Experience with Microsoft 365 (Outlook, Teams, Word, Excel, Calendar) and Adobe Sign.
  • Familiarity with Pitney Bowes SendSuite Package Tracking.

Responsibilities

  • Coordinates with the US Postal Service to implement the latest postal guidelines for each individual country and for US domestic mail.
  • Provides EWC staff with information on options, rules and costs of alternative shipping methods to domestic and foreign destinations.
  • Maintains supply of required forms and packaging material for various mail services.
  • Schedules coverage for mail services activities during the six-day work week.
  • Coordinates the sorting, routing and/or forwarding of incoming EWC business mail for various units and programs.
  • Inspects, analyzes, and redirects generic mail to appropriate parties.
  • Coordinates the sorting, delivery, routing, redirecting, and forwarding of personal mail for residents.
  • Manages database for current and previous mail recipients, maintaining large files of forwarding information.
  • Maintains accountability process for restricted delivery and special handling items.
  • Establishes relationships with postal equipment vendors and maintains mail handling equipment.
  • Responsible for the Center's Pitney Bowes electronic mailing system and all peripherals.
  • Responsible for all photocopiers at EWC, ensuring proper maintenance and supplies.
  • Maintains the magnetic copy card system for photocopier access.
  • Works with Facilities Management to maintain EWC mail vehicle.
  • Serves as a work leader for contract student assistant employees.
