About the position

The Mailroom Coordinator at Anderson Trucking Service, Inc. is responsible for supporting the organization by managing all mail processing, office supply requests, and providing clerical services as needed. This role involves ensuring efficient mail distribution, data entry, quality checking, and maintaining inventory levels for office supplies. The coordinator plays a vital role in facilitating communication within the organization and with external vendors, while upholding the company's values and mission.

Responsibilities

  • Perform clerical functions associated with all mail processing, copying, and office supply requests.
  • Receive, sort, and direct incoming and interoffice mail; prepare all outgoing mail and complete necessary forms in compliance with postal or delivery service regulations.
  • Track all postage paid, answer questions, and investigate issues that occur.
  • Receive, prioritize, process, and distribute all department photocopying requests.
  • Purchase and maintain inventory for office supplies; assist in selecting suppliers; and fill internal office supply orders.
  • Efficiently and accurately scan, index, and quality check all company-related paperwork.
  • Enter alpha and numeric data for all company-related paperwork, verify accuracy of data, and correct keying errors.
  • Serve as a back-up front desk receptionist answering phones, greeting visitors, and responding to requests.
  • Understand and consistently perform in accordance with ATS Mission, Vision, and Values.
  • Support ATS' culture by aligning actions, behaviors, performance, and decisions in accordance with the Company's values as set forth in our All-Employee Competencies.
  • Complete work responsibilities outside of normal business hours.
  • Perform other duties and responsibilities as assigned.

Requirements

  • High School diploma required.
  • 2-4 years of experience in a customer-driven environment preferred.
  • Minimum of one year data entry, document processing, or mailroom experience in a professional setting.
  • Ability to effectively communicate at all levels of the organization and with outside vendors.
  • Must be able to deliver administrative support including customer service, research, document preparation, and data analysis.
  • Strong analytical, counting reasoning, and critical thinking skills are required to interpret numerical data for mailing duties.
  • Must be detail-oriented and able to prioritize multiple tasks and projects simultaneously to meet company deadlines.
  • Familiarity with computer applications, which includes the ability to learn new and complex computer system applications.
  • Must be able to maintain a high level of confidentiality.
  • Proficiency in Microsoft Office (Word, Excel, and Outlook) required.
  • Excellent communication skills (written, listening, and verbal).
