About the position

The Maintenance Clerk position at Livermore Sanitation involves managing daily administrative operations within the Maintenance Department, supporting fleet management, and ensuring compliance with company policies and procedures. The role requires strong organizational skills and proficiency in various software systems to maintain records, manage inventory, and prepare reports.

Responsibilities

  • Manage daily administrative operations of the Maintenance Department including compliance, policies, and procedures.
  • Support the fleet manager with analysis of fleet operations reports, identifying trends, and correcting errors.
  • Follow all safety policies and procedures and participate with the team to achieve safety goals.
  • Manage accounts payable process for the Maintenance Department.
  • Demonstrate proficiency in the use of proprietary operational systems.
  • Maintain shop filing system for a large fleet, including hard copy maintenance and compliance files.
  • Order parts for the team and manage inventory purchasing, stocking, and distribution.
  • Maintain RTA parts management software and parts room according to company policy.
  • Track warranties and prepare reports as needed using Excel.
  • Maintain company PO log and prepare shop A/P for approval.
  • Manage shop truck files and oil sample program.
  • Occasionally retrieve parts offsite using a company vehicle.
  • Prepare expense reports and manage vendor communication.
  • Maintain online SDS files and conduct oneself in accordance with company safety policies.

Requirements

  • 2 or more years of experience as an Administrative Assistant in a fast-paced work environment.
  • Strong work experience utilizing MS Word, Excel, and Outlook professionally.
  • Exceptional organizing and coordinating skills.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to foster a cooperative work environment.
  • Ability to learn company-specific programs and policies.
  • Ability to lift 50 pounds.
