About the position

The Office/Systems Coordinator - Accounting & HR at Vanguard Resources, Inc. is a full-time, salaried-exempt position responsible for supporting the maintenance department within a hospital environment. This role involves a blend of accounting, human resources, and administrative tasks, ensuring smooth operations at the Blue Skies of Texas retirement community. The coordinator will act as a liaison between the maintenance department and corporate office, handling payroll, employee benefits, and various accounting functions while maintaining a focus on accuracy and detail.

Responsibilities

  • Support the maintenance department with daily accounting functions.
  • Process complex billing, invoicing, and purchase orders accurately.
  • Manage data entry and tracking of high-volume invoicing and accounts payables.
  • Facilitate payroll system updates and processes for the department.
  • Assist with employee benefit plans and resolve benefits-related issues.
  • Coordinate recruiting and hiring activities, including job postings and candidate outreach.
  • Oversee concierge service requests and manage job scheduling and billing.
  • Create periodic reports for leadership and clients.
  • Maintain compliance files and assist in event coordination.

Requirements

  • High school diploma or GED equivalent required.
  • Minimum 2-5 years' experience in accounting and accounting systems preferred.
  • Proficiency in MS Office Suite required.
  • Experience with HR software systems is a plus.
  • Excellent time management skills and ability to multi-task.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work efficiently in a fast-paced environment.

Nice-to-haves

  • Previous experience in a manufacturing, maintenance, mechanical, or electrical environment is a plus.
  • Experience working in an HR/Payroll system is beneficial.
  • Previous recruiting experience is helpful.
