About the position

The Maintenance Manager at PHP Management Services LLC will play a crucial role in ensuring the upkeep and functionality of the property under the direct supervision of the Property Manager. This position involves overseeing the maintenance, renovation, and repair of various systems and facilities, including grounds, amenities, parking, electrical, plumbing, ventilation, and all building systems. The Maintenance Manager is tasked with evaluating problematic systems and determining the necessary installation or repair services required to maintain the property in optimal condition. In addition to hands-on maintenance work, the Maintenance Manager will develop and implement maintenance procedures, system and process protocols, and preventative maintenance programs. This role requires a proactive approach to managing and organizing the inventory of all maintenance materials, including tools, equipment, and supplies, while also exploring cost-effective ordering methods to ensure the best value for price. The Maintenance Manager will ensure the completion of all work orders and keep the Property Manager informed of the status of each repair, responding to resident maintenance requests within 24 hours. The Maintenance Manager will also be responsible for developing and organizing preventative maintenance and safety inspection programs for all facilities and equipment. This includes establishing emergency protocols for various disasters, maintaining an updated facilities manual, and monitoring the completion of preventive maintenance schedules. The role involves performing light electrical and plumbing repairs, carpentry work, and custodial tasks as necessary, while also conducting inspections to ensure ongoing quality of care and identifying necessary repairs. The Maintenance Manager will work to minimize the need for outside vendors or contractors, obtaining estimates and supervising contractors when necessary, and ensuring that all work is completed in a timely and professional manner. This position requires a commitment to maintaining professional and courteous communication with residents, vendors, contractors, and co-workers, while adhering to company policies and safety regulations.

Responsibilities

  • Perform or oversee the maintenance, renovation, and repair of the grounds, amenities, parking, electrical, plumbing, ventilation, and all building systems.
  • Evaluate problematic systems or facilities and determine necessary installation or repair services.
  • Develop and implement maintenance procedures, system and process protocols, and preventative maintenance programs.
  • Manage and organize the inventory of all maintenance materials, including tools, equipment, and supplies.
  • Ensure completion of all work orders and keep the Property Manager advised of the status of each repair.
  • Respond to all resident maintenance requests within 24 hours.
  • Develop and organize preventative maintenance and safety inspection programs for all facilities and equipment.
  • Establish, maintain, and continually update a facilities manual that identifies various protocols and/or standards designated for the facility.
  • Monitor completion of preventive maintenance schedule and keep accurate records regarding preventive maintenance, work orders, inventories, and stock.
  • Perform light electrical repairs on items such as appliances, fixtures, switches, outlets, circuits, etc.
  • Perform light plumbing work such as clearing stoppages, replacing fittings, etc.
  • Replace broken glass, tile, carpet, screens, fixtures, appliances, draperies, and locks.
  • Paint interior/exterior as needed and perform carpentry work such as fitting doors, freeing windows, and wallboard repair.
  • Inspect, perform light repairs, and arrange for contract maintenance on building systems such as boilers, heaters, fire alarms, etc.
  • Assist in custodial work in common areas as necessary, including sweeping, mopping, and cleaning windows.
  • Conduct daily and periodic site and common area inspections to ensure ongoing quality of care and identify necessary repairs.
  • Obtain estimates and quotes of materials and equipment needed for repairs and the completion of job tasks.
  • Assist in the selection and supervision of contractors providing building services and inspect upon completion to ensure work is correctly performed.
  • Review and approve vendor invoices to ensure accuracy and facilitate prompt payment to vendors.
  • Supervise vendors providing contract repairs to ensure work is completed in a timely, cost-effective, and professional manner.
  • Be on-call for maintenance emergencies and maintain inventory of all tools and equipment.

Requirements

  • High School Diploma or GED.
  • Experience in facility maintenance.
  • Adequate knowledge of plumbing, electrical, carpentry, and heating standard practices.
  • Certified Facilities Manager or equivalent certification/HVAC certification preferred.
  • Knowledgeable and skilled in the safe use of hand tools and small power tools.
  • Computer proficiency is required.
  • Neat and orderly work habits are essential.
  • Valid driver's license is required.
  • Professional demeanor and solid interpersonal skills are necessary.
  • Ability to handle emergency and pressure-sensitive situations.
  • Effective communication skills, both verbally and in writing.

Nice-to-haves

  • Certified Facilities Manager or equivalent certification/HVAC certification preferred.
