About the position

The Major and Planned Gifts Coordinator at Kalamazoo College plays a crucial role in supporting the development staff and enhancing the college's fundraising efforts. This part-time position, approximately 24 hours per week, involves overseeing the tracking of planned gifts, managing marketing communications, and providing stewardship to donors. The coordinator will work closely with various departments to ensure accurate data management and effective communication strategies, contributing to the overall success of the college's development programs.

Responsibilities

  • Oversees the tracking and recording of expected and realizing planned gifts and Stetson Society members, ensuring all data and documentation are recorded accurately.
  • Works with advancement services and donor relations to track planned gifts for College campaigns.
  • Supports and carries out the strategy for planned giving marketing and communication, managing the production of marketing publications and materials.
  • Assists with monitoring the planned giving website pages to ensure they meet branding standards and are up-to-date.
  • Prepares planned giving illustrations for development staff as needed.
  • Acts as primary contact for planned giving vendor relationships, such as gift calculation software companies.
  • Generates reports on planned gift activity and Stetson Society membership, coordinating recognition materials for members.
  • Manages the monthly credit card statement and receipt process for development staff.
  • Acts as a resource to development staff in cultivating, soliciting, and stewarding major gift donors.
  • Coordinates the preparation of reports and collateral materials for donors, offering additional support as needed.
  • Assists with writing, editing, and proofreading various publications produced within the development office.
  • Assists with donor proposals and correspondence for development staff.
  • Works with an external firm to complete the annual registration to solicit process in all states that require registration by the College.
  • Supports donor event logistics including invitations and RSVPs, collaborating with other departments as needed.
  • Answers the College's main phone line as scheduled and coordinates responsibilities with advancement teammates.

Requirements

  • Bachelor's degree or equivalent experience highly preferred.
  • High level of proficiency with the Microsoft Office suite is required.
  • Ability to learn new computer applications including the College's database and gift planning software.
  • Excellent communication skills including writing, proofreading, and editing.
  • Ability to communicate professionally with both internal and external audiences.
  • High level of personal integrity and understanding of professional confidentiality.
  • Ability and willingness to work assigned office hours, including flexible scheduling.

Nice-to-haves

  • Experience in fundraising or development roles is preferred.
  • Familiarity with planned giving concepts and practices.
