About the position

CGI Federal is seeking a Management Analyst II (Executive Assistant) to support the Civil division of the Department of Justice (DOJ). This position is located in Washington, DC, and is a full-time role requiring in-office attendance from Monday to Friday, 8:30 AM to 5:00 PM. The successful candidate will assist the Executive Officer and other senior management officials within the Office of Management Programs (OMP) with various special programs, projects, and unique assignments. This role is critical in ensuring that the executive team operates efficiently and effectively, providing high-level administrative support to facilitate their work. The Management Analyst II will be responsible for preparing briefing materials for the Executive Officer and other senior DOJ officials, ensuring that they are well-informed for meetings and decision-making processes. The role involves performing a variety of sensitive assignments related to administrative policy and operating procedures, as well as carrying out special assignments for the Executive Officer and other senior OMP officials. The candidate will be tasked with drafting and finalizing various materials, including memoranda, letters, reports, and requests, while also editing and proofreading executive correspondence and memoranda to maintain high standards of communication. In addition to these responsibilities, the Management Analyst II will coordinate and arrange meetings for the Executive Officer, perform general clerical work such as filing, copying, sorting, and mailing, and maintain the Executive Officer's calendar by advising them daily of upcoming appointments and conferences. The role also includes receiving and screening visitors and phone calls, determining the nature of requests, and referring callers or visitors to appropriate staff. The candidate will be responsible for authorizing building access by enrolling PIV cards and submitting additional access requests as needed. Other duties may be assigned as necessary to support the executive team effectively.

Requirements

  • Excellent customer service skills and attention to detail.
  • Experience providing administrative support to high-ranking executives.
  • Proficiency in Microsoft Word, Microsoft Outlook, Adobe Acrobat, and Microsoft Excel.
  • Effective communication and strong writing skills.
  • Strong organizational skills and ability to work in a fast-paced environment.
