About the position

This position is in the Raleigh District office of the Office of Field Operations, Regulatory Operations. The position reports to and provides assistance to the supervisory program manager by analyzing and implementing a variety of district management and administrative policies and procedures, providing direct administrative and analytical support to the Raleigh District Manager.

Responsibilities

  • Compares alternatives for solving problems
  • Records and consolidates data
  • Organizes and prioritizes documents directed to the supervisory program manager for action or review
  • Organizes and prioritizes correspondence directed to the supervisory program manager for action or review
  • Communicates via telephone in support of and on behalf of the program area manager
  • Communicates via email in support of and on behalf of the program area manager
  • Communicates in-person in support of and on behalf of the program area manager
  • Coordinates the process for new grants of inspection
  • Provides overview of the application process to prospective grantees
  • Presents complete grant applications to the approving authority
  • Maintains a database and filing system pertaining to grant applications
  • Serves as a focal point for communication between the district leadership, resource manager, and the prospective grantee
  • Prepares grant of inspection documents
  • Ensures correspondence is properly routed to all interested parties within the Agency
  • Provides backup and assistance to the resource management specialists
  • Performs initial review of grant applications for completeness
  • Coordinates flow of visitors within the district office
  • Enforces security requirements of visitors
  • Maintains current knowledge of government and Agency security policies
  • Oversees proper identification of visitors

Requirements

  • U.S. Citizenship is required
  • Subject to satisfactory adjudication of background investigation and/or fingerprint check
  • May be subject to satisfactory completion of one year probationary or trial period
  • Must pass the E-Verify employment verification check
  • Male applicants born after December 31, 1959, must complete a Pre-Employment Certification Statement for Selective Service Registration
  • Time in grade: Applicants must meet one year at the next lower grade to be considered for the next higher grade

Nice-to-haves

  • Knowledge of resource management, financial principles, and program administration
  • Experience with clerical or office work performed independently, and under general supervision
  • Written and oral communication skills by developing documents to establish formal agreements, and email correspondences providing status updates on assignments and establishments
  • Experience performing variety of administrative functions including tasks such as coordinating approval of documents to establish formal agreements, report preparation, or organizing meetings
  • Organizational ability, such as organizing and prioritizing reading material, disseminating information, collecting, tracking, and recording forms, checklists, or other documents
