About the position

The Management Assistant to the Director role at Maricopa County's Real Estate Department is designed for individuals with strong attention to detail and self-starter skills. This position enhances the effectiveness of the Director by providing management support and acting as a liaison between the Director and various stakeholders. The role offers extensive exposure to department directors, executive management, staff, and the public, contributing to the collaborative efforts of the department in managing real estate functions.

Responsibilities

  • Provide management support to the Director and represent the Director to others.
  • Assist in the preparation of reports by collecting and analyzing data/information.
  • Draft letters and documents, and manage correspondence for the Director.
  • Coordinate meeting logistics, attend meetings, and take minutes.
  • Control the department's office inventory and manage procurement compliance.
  • Complete various projects and special assignments, ensuring objectives and priorities are met.
  • Maintain confidentiality and protect operations by managing sensitive information.

Requirements

  • Two years of administrative experience in a Real Estate environment, including office management support to an executive officer or department director.
  • Associate degree in real estate, business administration, or a closely related field.
  • Advanced proficiency in Microsoft Word, PowerPoint, and Outlook.
  • Intermediate proficiency in Microsoft Excel, VISIO, SharePoint, and OnBase.

Nice-to-haves

  • Bachelor's degree in real estate, business administration, or a closely related field.
  • Three or more years of administrative experience, including office management support to an executive officer or department director.
  • Experience with governmental real estate functions.
