About the position

The Manager of Administration and Operations for the Department of Physics at Princeton University is responsible for providing administrative leadership and support to the Department Chair and Senior Department Manager. This role involves managing a team of eight staff members, ensuring compliance with university policies, and facilitating various administrative processes within a complex academic environment. The position emphasizes high-level customer service and collaboration with faculty, students, and administrative units.

Responsibilities

  • Manage eight staff members, including three center coordinators, three faculty assistants, and two student administrators.
  • Analyze workflow of staff, implementing efficient processes and ensuring compliance with University policy.
  • Address performance issues and lead career development for staff.
  • Participate in organizational assessment and planning, providing analysis to define roles and write position descriptions.
  • Advise on complex issues such as restructuring, reclassification, and compensation.
  • Manage the administrative and logistical aspects of faculty searches.
  • Oversee appointment, orientation, onboarding, reappointment, and promotion processes for academic staff.
  • Ensure effective processing of confidential annual merit increases for Dean of Faculty appointees.
  • Provide logistical support for faculty meetings, including handling confidential documents.
  • Monitor visa status of non-citizen academic employees.
  • Maintain complete and accessible records, including personnel files and departmental actions.
  • Maintain listservs and office space assignments for the Department.
  • Engage in event planning and support for various staff areas.
  • Resolve issues and assist with departmental matters as they arise.

Requirements

  • Bachelor's degree or equivalent experience.
  • At least five years of personnel management in an academic or research environment.
  • Strong organizational and management skills.
  • Demonstrated project management skills.
  • Ability to handle multiple tasks in a timely manner.
  • Discretion, tact, and judgment of the highest order.
  • Confident and professional written and verbal communication skills.
  • Self-motivated and self-directed with a commitment to excellence.
  • Ability to work collaboratively with department faculty, students, and staff.
  • Advanced skills in Microsoft Office suite, especially Excel.
