About the position

The Manager of Business Operations in the Department of Neurology at Tufts Medical Center is responsible for providing administrative and business support to achieve operational goals. This role involves overseeing business operations, improving workflow and efficiency, and ensuring high-quality care delivery. The manager will supervise employees, implement policies and strategies, and work closely with leadership to enhance overall performance and achieve the practice's vision.

Responsibilities

  • Develop, recommend, and monitor operating budgets for the practice and hospital operations.
  • Maintain financial/statistical performance data and produce reports to improve performance.
  • Ensure accurate charge entry, patient information, and billing support procedures.
  • Oversee grants and contracts administration for research programs.
  • Develop and implement cost containment strategies.
  • Serve as a liaison between administration and business operations to resolve financial and operational issues.
  • Supervise scheduling procedures for patient treatment visits to optimize physician time and patient flow.
  • Ensure efficient scheduling and operations of assigned clinics.
  • Develop programs to achieve high levels of customer/patient satisfaction.
  • Collaborate with management of other departments to achieve hospital goals.
  • Develop and implement medical practice and hospital policies and procedures.
  • Coordinate facility management including space planning and maintenance.
  • Support the medical department Chair/Chief(s) in business plan development.
  • Foster collaboration between physician practice and hospital business plans.
  • Administer physician's financial incentive programs to improve service goals.
  • Maintain market awareness and recommend marketing activities for assigned services.
  • Collaborate with Planning and External Affairs for marketing and public relations programs.
  • Negotiate and manage contracts for service provision at the hospital.
  • Coordinate administrative aspects of medical residency/fellow training assignments.
  • Ensure understanding of documentation requirements with medical staff.
  • Utilize personnel resources effectively through training and morale programs.
  • Hire, motivate, and supervise staff while ensuring fair HR practices.
  • Ensure compliance with JCAHO standards and regulatory requirements.
  • Maintain adequate IT resources for departmental operations.
  • Foster collaborative team relationships and ensure effective communication.

Requirements

  • Master's degree in Business, Healthcare Administration, or related area with five years of leadership experience, or a Master's degree with completion of an Administrative Fellowship, or a Bachelor's degree with seven years of leadership experience, or a High School Diploma with eleven years of leadership experience.
  • Broad knowledge of clinical enterprise, including inpatient and outpatient care.
  • Management, leadership, and interpersonal skills for effective operations management.
  • Strong foundation in healthcare systems operations and office administration.
  • Ability to assess individual performance and implement corrective action plans.
  • Ability to manage multiple tasks and prioritize effectively.
  • Ability to visualize the big picture with minimal supervision.
  • Knowledge of specialized software for medical records, patient scheduling, and billing, including ICD coding.
  • Ability to interpret financial data and manage revenues and expenses according to budget.
  • Good quantitative skills and ability to present information effectively.
