About the position

The Manager, Donor Research and Strategy is a pivotal role within the Philadelphia Ballet's Advancement Department, responsible for developing and executing a comprehensive program of strategic donor research and prospect management. This position encompasses a variety of tasks including prospect identification, research, moves management, portfolio maintenance, reporting, and database management. The Manager will work closely with Ballet leadership and frontline fundraisers to enhance fundraising efforts through effective prospect research and management. In this role, the Manager will proactively research existing donors and identify new prospects, creating detailed profiles and reports as necessary. Collaboration with the Chief Advancement Officer (CAO) and Senior Director of Development is essential for preparing plans and briefings for meetings and events. The Manager will also create donor profiles for attendees of special events and other cultivation and stewardship activities, ensuring that the development team is well-prepared for engagements. Regular wealth screenings will be coordinated through platforms like iWave, and the Manager will research peer organizations' donors to expand the Ballet's prospect pipeline. Additionally, the Manager will implement and maintain effective procedures to support prospect research and management, working closely with the frontline fundraising team to establish processes for portfolio management. This includes analysis, rebalancing, documentation, and reporting, all aimed at enhancing the effectiveness of cultivation and solicitation strategies for major gift prospects. The role requires generating and analyzing data to identify new fundraising opportunities and supporting gift officers and Trustees in managing their portfolios. The Manager will also participate in donor receptions and events as required, contributing to the overall success of the Philadelphia Ballet's fundraising initiatives.

Responsibilities

  • Proactively research existing donors and identify new prospects, creating detailed profiles and reports as needed.
  • Collaborate with the Chief Advancement Officer (CAO) and Senior Director, Development to prepare plans and briefings for meetings and events.
  • Create donor profiles for attendees of special events and other cultivation and stewardship activities.
  • Prepare research lists of ticketholders in advance of performances for the development team.
  • Coordinate regular wealth screenings through iWave and other platforms.
  • Research peer organizations' donors to expand the Ballet's prospect pipeline.
  • Support institutional research efforts in collaboration with the Associate Director, Foundations and Government Relations as needed.
  • Respond to individual research requests as needed.
  • Implement and maintain effective procedures to support prospect research.
  • Work closely with the frontline fundraising team to establish and implement effective processes for portfolio management, including analysis, rebalancing, documentation, and reporting.
  • Direct pipeline meetings and reporting for effective coordination of cultivation and solicitation action steps for major gift prospects using Moves Management best practices.
  • Oversee a data-based approach that ensures gift officers execute strategies that result in meaningful engagement and successful solicitation of prospects.
  • Generate and analyze data to identify opportunities for new fundraising efforts.
  • Support gift officers, Trustees, and other frontline fundraisers in portfolio management by recording completed and pending cultivation, stewardship, and solicitation steps.
  • Maintain constituencies and other indicators to support audience segmentation.
  • Implement and maintain effective procedures to support prospect management.
  • Participate in donor receptions and events as required.

Requirements

  • College degree or equivalent relevant work experience.
  • Minimum 3 years' experience working in an office environment.
  • Experience working in a non-profit setting, preferably performing arts.
  • Proficiency with Microsoft Office Suite, Excel, PowerPoint applications.
  • Proficiency with Google forms.
  • Proficiency with database management.
  • Excellent attention to detail.
  • Strong written and verbal communication skills.
