About the position

The Event Services Manager at Texas A&M University plays a crucial role in managing centralized conference services within the University Center & Special Events department. This position serves as the primary point of contact for a variety of events, including meetings, training sessions, conferences, and special events. The manager is responsible for ensuring that all aspects of event planning and execution are handled with professionalism and attention to detail, contributing to the overall success of the events hosted at the university's facilities. In this role, the Event Services Manager will lead the planning and execution of events, which includes meeting with clients to understand their needs, scheduling the necessary space and equipment, and coordinating staff to ensure smooth operations. The manager will also be involved in client interactions from the conception of the event, confirming timelines, security expectations, and any special requests. This position requires the ability to design event diagrams or CAD drawings to meet client expectations prior to event setup. Additionally, the manager will communicate with sponsors and various university entities to ensure all details are in place for successful events. This includes advising on university rules and regulations, managing facility and event calendars, and representing the department in university-wide committees. The role also involves supervising personnel responsible for event setup and execution, providing training and feedback to ensure high standards are maintained. The Event Services Manager will also be tasked with developing training materials and coordinating new employee training, ensuring that all staff are well-prepared to meet the demands of their roles. Responsibilities

  • Manage centralized conference services for meetings, events, training sessions, and special events.
  • Serve as the primary point of contact for clients throughout the event planning process.
  • Schedule space, equipment, and staff for events, ensuring all necessary paperwork is completed.
  • Design event diagrams or CAD drawings to meet client expectations prior to event setup.
  • Communicate with sponsors and university entities regarding event details and requirements.
  • Develop, manage, and maintain facility and event calendars for various university venues.
  • Oversee staff responsible for the delivery, setup, execution, and removal of special event equipment.
  • Provide training and feedback to staff to ensure efficient event setup and execution.
  • Develop and maintain training curriculum and manuals for staff.
  • Assist with concessions processes and risk reviews for events.

Requirements

  • Bachelor's degree in applicable field or equivalent combination of education and experience.
  • Five years of experience in event coordination, hospitality, or customer service roles.
  • Ability to multi-task and work cooperatively with others.
  • Ability to manage teams of employees in the execution of events.
  • Ability to work nights and weekends as needed.

Nice-to-haves

  • Two years of event coordinating experience.
  • Three years of customer service experience.
