About the position

The position involves independently managing the planning, coordination, and execution of clinical trials marketing and recruitment/retention programs. The role requires effective communication with sponsors and project teams to implement and monitor the impact of marketing strategies, while also making operational recommendations based on study performance. The individual will collaborate with internal teams and external providers to deliver marketing tactics and represent the team at site/sponsor meetings. Additionally, the role includes ownership of study KPIs and financial performance, with potential supervisory responsibilities for patient recruitment coordinators.

Responsibilities

  • Manage the planning, coordination, and execution of clinical trials marketing and recruitment/retention programs.
  • Communicate with sponsors and project teams to implement and monitor marketing strategies.
  • Make operational and tactical recommendations based on study performance.
  • Collaborate with internal teams and external providers to deliver marketing tactics.
  • Represent the team at site/sponsor meetings to present strategies and rationales.
  • Oversee study KPI and financial performance.
  • Supervise patient recruitment coordinator staff members as assigned.
  • Develop and maintain collaborative relationships with project management teams, site coordinators, and sponsors.
  • Execute marketing and recruitment/retention strategic plans and manage budgets.
  • Coordinate daily workflow through the Recruitment Management department during critical phases of recruitment programs.
  • Develop creative assets for marketing and recruitment/retention of studies.
  • Analyze, track, and forecast recruitment and retention program progress, recommending adjustments as needed.
  • Provide weekly updates to teams on recruitment progress.
  • Develop unique advertising and retention plans for individual sites.
  • Facilitate vendor contracting processes and approve vendor invoices.
  • Collaborate with finance for budget projections and provide monthly updates to project management.
  • Assess the need for new tracking systems and assist in their development and implementation.
  • Participate in new business development and recruitment proposal development.
  • Provide guidance and coaching to less experienced colleagues in recruitment management analytics.
  • Manage project team members, including planning, assigning work, and assessing performance.
  • Participate in the hiring process and ensure proper onboarding and training of new employees.
  • Manage the quality of assigned staff's clinical work and identify quality risks.

Requirements

  • Bachelor's degree or equivalent academic credential required.
  • Minimum of 7 years of recruitment management or related experience in the clinical research field.
  • Demonstrated leadership responsibility for patient recruitment projects.
  • Detailed knowledge of FDA regulations and GCP/ICH guidelines as they apply to clinical research.
  • Proficiency in Microsoft Office Suite and Publisher.
  • Experience with execution and oversight of digital marketing campaigns.
  • Effective time management skills and ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and high level of facilitation skills.
  • Excellent mentoring and supervisory skills.
