About the position

The Manager of Advancement Database Services is responsible for overseeing the management and integrity of the Academy's enterprise database system, ensuring accurate data entry, reporting, and compliance with IRS guidelines. This role involves supervising staff, coordinating data imports and exports, and designing strategies for effective data usage to support fundraising efforts. The position requires a commitment to diversity and inclusion, as well as the ability to work collaboratively with various stakeholders within the Academy.

Responsibilities

  • Supervise the acknowledgement process to ensure timely donor acknowledgements.
  • Support and assist gift accounting and data entry staff to maximize accuracy and efficiency.
  • Assess and prioritize workload among staff for smooth departmental operations.
  • Ensure adherence to IRS guidelines for charitable contributions.
  • Troubleshoot issues related to gift accounting and data entry for accuracy and efficiency.
  • Ensure optimal utilization of the Academy's enterprise database system.
  • Coordinate data imports from outside sources to maintain data integrity.
  • Provide computer systems support for Advancement Services and manage testing of upgraded data.
  • Partner with the Director of Advancement Services to design data management strategies.
  • Create list frameworks to support fundraising strategies and manage the list-pulling process.
  • Design and implement training programs for Advancement staff on database usage.
  • Manage database administration and security processes, ensuring appropriate access levels.
  • Coordinate data exports for internal and external parties to preserve data integrity.
  • Craft and manage the data clean-up schedule and oversee routine clean-up projects.

Requirements

  • Bachelor's degree required.
  • 3-5 years of experience in Advancement, including database management experience.
  • Excellence in data entry and proficiency in MS Office products, especially Excel, Outlook, and Word.
  • Experience with relational database systems, preferably Banner and Raiser's Edge.
  • Knowledge of gift accounting standards.
  • Excellent verbal and written communication skills.
  • Ability to gather and analyze statistical data and generate reports.
  • Ability to motivate and work effectively with Advancement staff.
  • Ability to work independently and collaboratively as part of a team.
  • High level of integrity and strong work ethic.
  • Ability to manage highly confidential information.
