About the position

The Manager of Facility Systems is a pivotal role within the Faculty of Arts and Sciences, specifically overseeing the operational integrity of the SEAS Science and Engineering Complex located at 150 Western Ave, Allston. This expansive facility encompasses approximately 500,000 square feet dedicated to laboratories, offices, and classrooms, necessitating a comprehensive approach to facility management. The individual in this position will be responsible for a wide range of support functions and activities that relate to building systems, maintenance, and budget control. Reporting directly to the Manager of Facilities Operations, the Manager of Facility Systems will supervise and manage a team of direct reports who are tasked with maintaining critical systems such as HVAC, electrical, plumbing, fire/life safety, elevators, and generators. Ensuring compliance with Federal, State, Local, and University standards is paramount, as is the oversight of outside maintenance contractors who perform daily maintenance and repairs on campus. In addition to supervisory responsibilities, the Manager of Facility Systems will coordinate trades and service providers to address day-to-day mechanical needs, preventative maintenance, and structural repairs. This role also involves managing and monitoring related projects and the Work Request System to optimize resource utilization. A key aspect of the position is the analysis of data to develop preventative maintenance programs aimed at maximizing operational efficiencies. The Manager will collaborate closely with the Office of Physical Resources and Planning and the Harvard University Office for Sustainability to implement best practices in operations and maintenance, contributing to the University’s sustainability goals. Long-term planning for mechanical and structural systems is another critical responsibility, which includes maintaining the Accruent/VFA database and conducting assessments of the building. The Manager will also handle Environmental Health and Safety issues, ensuring compliance with various safety regulations and management plans. This includes overseeing all overtime projects and procurement of services, parts, and equipment necessary for the Facilities group. The role requires a proactive approach to training existing and new trades staff, enhancing work performance across all trades shops, and reviewing plans for new and renovated building systems. The Manager of Facility Systems will also perform other duties as assigned, making this a dynamic and multifaceted position.

Responsibilities

  • Supervise, manage, and assign tasks to direct reports responsible for HVAC, electrical, plumbing, fire/life safety, elevators, generators, and other systems.
  • Ensure compliance with Federal, State Local, and University standards for all systems.
  • Supervise outside maintenance contractors performing daily maintenance/repairs on campus.
  • Coordinate trades and service providers for mechanical, preventative maintenance, structural repairs, and customer requests.
  • Manage and monitor related projects and the Work Request System for optimal performance.
  • Analyze data to develop preventative maintenance programs to maximize efficiencies.
  • Work with KGS to ensure systems are running optimally to support research and sustainability goals.
  • Assist with long-term planning for mechanical and structural systems.
  • Manage Environmental Health and Safety issues including confined space inventory and CFC management.
  • Schedule and oversee all overtime projects performed by in-house trades and contracted personnel.
  • Work with WSP on initial building commissioning and ongoing commissioning during construction and after occupancy.
  • Supervise procurement of services, parts, and equipment for the Facilities group.
  • Maintain parts and equipment inventory and stock emergency equipment closets on campus.
  • Assist in administration and enhancements of the SEAS Computer Aided Facility Management (CAFM) system.
  • Review plans and submittals for all new and renovated building systems.
  • Train existing and new trades staff.
  • Perform other duties and responsibilities as assigned.

Requirements

  • Minimum of seven years of increasing responsibility in facility management.
  • Experience with computer-based building control systems, mechanical and electrical systems operations, and maintenance.
  • Strong working knowledge of relevant computer tools (MS Office suite, scheduling, work order system).
  • Supervisory experience.

Nice-to-haves

  • CFM certificate and/or BS/BA degree helpful.
