About the position

The Manager of Research Portfolio Administration at Harvard Medical School plays a crucial role in overseeing the research administration function within the Systems Biology department. Reporting to the Director of Finance and Administration, this position involves managing a team of grants managers, ensuring compliance with various funding agency regulations, and serving as a subject-matter expert for faculty and staff. The manager is responsible for a complex portfolio, liaising with the Transformational Awards Team, and fostering an inclusive and innovative work environment.

Responsibilities

  • Oversee key aspects of the research administration function within the department.
  • Lead a team of grants managers providing research administration support and financial management.
  • Manage a large, complex portfolio and serve as the primary liaison to the Transformational Awards Team.
  • Ensure effective staff management including hiring, training, and performance management.
  • Strategically manage funds in partnership with Principal Investigators to achieve scientific outcomes.
  • Oversee award expenditures to ensure compliance with budget limits and timelines.
  • Prepare financial projection reports and analyze spending patterns.
  • Maintain accurate records of personnel effort and assist with effort certifications.
  • Oversee sponsored proposal preparation and post-award functions.
  • Ensure compliance with policies set forth by various funding agencies.
  • Collaborate with the DFA and Associate Director of Finance to document finance processes.
  • Foster a culture of continuous learning and share information with relevant parties.
  • Represent SysBio research administration on HMS committees as needed.

Requirements

  • Bachelor's degree or equivalent work experience required.
  • Minimum of 5 years' relevant work experience.
  • Advanced knowledge of sponsored research regulations.

Nice-to-haves

  • MBA or other relevant professional/master's degree or certification is a plus.
  • Prior management experience is a plus.
  • Experience with Microsoft Office Suite; advanced Excel skills.
  • Excellent analytic, written and verbal communication skills.
  • Ability to manage multiple, challenging projects in a fast-paced environment.
