About the position

The Payroll Manager at Valvoline Global Operations plays a crucial role in overseeing the Payroll Department, ensuring that payroll processes are accurate, timely, and efficient for employees across multiple states in the U.S. and Canada. Reporting to the Director of HRIS & HR Operations, the Payroll Manager is responsible for building and developing a strong team that leverages technology and processes to enhance payroll operations. This position requires a continuous improvement mindset, focusing on identifying opportunities for greater efficiency and effectiveness in payroll processing. In this role, the Payroll Manager will ensure the accurate preparation and balancing of multiple payrolls, including weekly, bi-weekly, and special off-cycle payrolls for both salaried and hourly employees. The manager will draft payroll policies, recommend procedural changes, and manage relationships with outside payroll vendors such as ADP. Additionally, the Payroll Manager will develop and maintain disaster recovery and pandemic processing plans, handle payroll adjustments, and prepare periodic payroll-related analyses and projections. The position also involves assisting managers with monitoring employee hours worked and overtime pay, leading the payroll team in standardizing global payroll processes, and ensuring compliance with IRS and state/local regulations. The Payroll Manager will be proactive in addressing employee and manager inquiries and will lead payroll project management initiatives related to HRIS programs, integrations, and changes in tax laws or benefits. This role is essential for maintaining accurate payroll data and ensuring adherence to federal and state wage and hour regulations, making it a key position within the HR operations team.

Responsibilities

  • Ensure accurate and timely preparation and balancing of multiple weekly/bi-weekly and special payrolls for salaried and hourly employees across 40+ U.S. states and Canadian provinces.
  • Draft payroll policy and recommend procedural changes for the Payroll Department.
  • Manage outside payroll vendors, such as ADP, for production, funding, problem resolution, and error correction.
  • Develop, implement, and maintain payroll disaster recovery and pandemic processing emergency plans.
  • Handle various payroll adjustments, including shortages, garnishments, vacation pay, bonuses, etc.
  • Prepare periodic payroll-related analyses, statements, and projections.
  • Assist managers with U.S. FLSA/state non-exempt employee hours worked monitoring and overtime pay.
  • Lead the payroll team, standardizing global payroll processes and procedures as well as execution of all payroll functions.
  • Assist with the development and maintenance of the workforce management system.
  • Lead continuous process improvement of global payroll systems and integrations with HRIS system.
  • Maintain accurate payroll data in accordance with company accounting, tax, and audit policies, and in compliance with IRS and state/local wage and hour record retention regulations.
  • Ensure compliance with all tax requirements related to payroll, including Federal, state, and local tax and reporting, garnishments, tax levies, and child support orders.
  • Ensure adherence with US FLSA, state and/or local jurisdiction exempt and non-exempt overtime payment requirements.
  • Respond promptly to manager and employee issues, questions, and concerns, proactively addressing ongoing problems.
  • Lead payroll project management initiatives, including HRIS programs, integrations, acquisitions, new policies, and changes to benefits or compensation plans.

Requirements

  • Bachelor's degree with an emphasis in Accounting or Business.
  • 5+ years' experience in a full-cycle, multi-state Payroll function within the U.S. and Canada.
  • Experience in XPAT and Shadow payroll preferred.
  • Corporate accounting department experience is recommended.
  • Experience in a smaller, rapidly changing environment with significant responsibility for creating and enhancing policies and procedures.
  • Experience setting up and managing various state tax accounts and filings.
  • A minimum of two years of supervisory responsibility.
  • HRIS experience: SAP, SuccessFactors Employee Central, SuccessFactors Employee Central Payroll, UKG, ADP Workforce Now, and ADP Smart Compliance preferred.
  • Working knowledge of federal/state wage and hour regulations.
