The Manager Program Administration at Safe Horizon plays a crucial role in supporting the Chief Program Officer and Director of Program Operations & Administration by overseeing the administrative and fiscal operations of the organization's program activities.   • Learn and integrate a trauma-informed, client-centered approach into work with clients and coach staff accordingly.
  • Assist Program Leadership in describing program goals and objectives for funding requests.
  • Review and monitor programmatic activities in the Client Management System (CMS) for reporting, invoicing, and quality assurance.
  • Collaborate on developing annual budgets with the Finance team and program leadership.
  • Coordinate audits conducted by internal and external auditors and prepare audit responses as required.
  • Assist in developing administrative program procedures based on audit findings.
  • Act as a liaison with related agency operating units such as Human Resources, Finance, and IT.
  • Manage program purchases and expenditures, including vendor payment requests and expense reports.
  • Oversee grant and contract-related administrative tasks, including budget modifications and justifications.
  • Develop workflows to describe business processes for special projects.
  • Supervise the Program Assistant in daily administrative tasks.
  • Train and provide technical support to programmatic Contract Managers and Administrative Directors.
  • Communicate policies and procedures to department staff and provide necessary training.
  • Maintain knowledge of federal, state, city, and private funding sources.
  • Bachelor's degree in a relevant field or equivalent experience.
  • 3+ years of experience handling government and private contracts and grants.
  • Demonstrated experience developing proposals for public and private donors.
  • Knowledge of New York State and City grants and contracts.
  • Excellent budget management skills, including tracking expenses and developing spending plans.
  • Strong time-management and organizational skills, with the ability to multi-task and work independently.
  • Excellent interpersonal and communication skills for liaising with diverse individuals.
  • Proficient in MS Word, Excel, PowerPoint, and Outlook.
  • Working knowledge of NYC and NYS grant databases is a plus.
  • Prior managerial or supervisory experience is required.
  • Experience with trauma-informed care practices.
  • Familiarity with social justice issues in New York City.
  • Competitive salary range of $62,000 to $69,750 yearly.
  • Potential for remote work with equipment support discussed during hiring process.
