About the position

The Manager, Programs at the University of Miami is a pivotal role responsible for overseeing the Graduate Clinical programs, which include the Doctor of Nursing Practice and Masters of Nursing Programs. This position operates under the supervision of the Associate Dean for Graduate Clinical Programs and requires a high level of interaction and collaboration with students, faculty, administration, and staff within the School of Nursing and Health Studies, as well as across various operational offices at the University. The Manager will manage daily operations, monitor programmatic matters, allocate budgets, and coordinate special projects and events, ensuring that the objectives of the Graduate Clinical Programs are met effectively. In this role, the Manager will provide comprehensive administrative support to the Associate Dean, which includes scheduling meetings with students, faculty, administrators, and community partners, preparing correspondence, and following up with relevant individuals as necessary. The Manager will serve as the primary representative for the Associate Dean in communications with program faculty, staff, students, and community partners, contributing ideas and viewpoints to department leadership on operational plans and assisting in program policy management and implementation. This collaboration is essential for facilitating smooth processes and ensuring effective workflow within the programs. The Manager will also be responsible for event management, which includes organizing both small and large-scale events such as DNP orientation and faculty guest lectures. This involves overseeing logistics such as vendor coordination, staff supervision, site selection, and travel planning. Additionally, the Manager will maintain multiple databases and files, ensuring that essential resources and background materials are organized and accessible. This role requires a proactive approach to handling requests and concerns from faculty, students, and staff, and acting as a liaison to ensure that graduate students receive accurate information regarding program policies and procedures. Overall, the Manager, Programs will play a crucial role in supporting the academic and operational success of the Graduate Clinical Programs at the University of Miami.

Responsibilities

  • Manage and oversee the overall day-to-day operations of the Office of the Associate Dean for Graduate Clinical Programs.
  • Provide administrative support to the Associate Dean, including scheduling meetings and preparing correspondence.
  • Serve as the primary programs representative for the Associate Dean in communication with faculty, staff, students, and community partners.
  • Contribute ideas and viewpoints to department leadership on operational plans and assist in program policy management.
  • Collaborate with the Associate Dean to prepare agenda items for faculty meetings.
  • Proactively handle requests and concerns from faculty, students, and staff.
  • Assist the Associate Dean with proofreading documents for accuracy.
  • Act as the primary liaison between the Associate Dean, program directors, faculty, and students.
  • Schedule and staff meetings of the faculty of the MSN-DNP program and maintain meeting minutes.
  • Assist the Associate Dean in tracking assignments or projects pending completion by faculty or staff.
  • Manage event logistics for both small and large-scale events.
  • Oversee the maintenance of information technology and databases related to the programs.
  • Provide administrative support to the program evaluation process for students enrolled in the graduate clinical programs.
  • Revise graduate student handbooks and other administrative policies as needed.
  • Process travel forms for the Associate Dean and identify problems for follow-up action.

Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, or a related field required.
  • Minimum of three (3) to five (5) years of progressive related experience, preferably at UM or in a healthcare or academic institution.
  • Strong knowledge of university operations and ability to read and decipher data on source documents.
  • Advanced skills in database management systems and Microsoft Office applications.
  • Excellent written and verbal communication skills with a focus on customer service.
  • Strong organizational abilities, attention to detail, and time management skills.

Nice-to-haves
