About the position

The Manufacturing Administration Assistant plays a crucial role in supporting the Manufacturing Departments by managing documentation, record-keeping, and communication tasks. This position requires proficiency in various software applications and strong organizational skills to ensure efficient operations within the manufacturing environment.

Responsibilities

  • Access attendance data system software to look up employee benefit time and schedules.
  • Maintain confidentiality regarding employee paperwork, documentation, and information.
  • Answer phones and document attendance requests by collecting information from department supervisors and managers.
  • Coordinate with Human Resources to ensure paperwork accuracy.
  • Update various spreadsheets and reports as needed.
  • Process and prepare documentation for the Machine Department.
  • Communicate with various Department leads to assess administrative needs.
  • Print and laminate documentation and signs.
  • Scan, save, and file logs/forms from various departments.
  • Take notes and generate minutes for Department meetings.
  • Type, edit, proofread, format, and print a wide variety of documentation.
  • Collect signatures on a wide variety of paperwork as needed.
  • Assist with Attendance paperwork and tracking as needed.
  • Travel between buildings to work with other departments as needed.
  • Assist in the documentation for service of outside vendors.
  • Assist with the sales and service of the Equipment & Supply Department.
  • Operate a golf cart to travel between buildings.

Requirements

  • Proficiency in Microsoft Excel, Word, Outlook, and Adobe Acrobat.
  • Ability to type at least 40 WPM accurately.
  • Ability to enter data on a computer accurately.
  • Ability to follow structured instructions and formatting requirements for documentation.
  • Ability to be highly organized and have excellent time management skills.
  • Ability to problem solve.
  • Ability to work independently and as part of a team.
  • Ability to communicate well using both oral and written communication skills.
  • Ability to maintain confidentiality with regard to trade secrets and employee information.
  • Comfortable and flexible working in a Manufacturing environment.
  • Ability to operate and maintain a company issued smart phone.
  • Ability to operate a golf cart.
