About the position

The Marine Service Center Office Administrator and Service Writer is a dual role that combines administrative duties with customer service and technical support. This position is essential for ensuring the smooth daily operations of the service center while maintaining excellent customer relationships. The ideal candidate will possess strong organizational skills, effective communication abilities, and a passion for the marine industry.

Responsibilities

  • Oversee daily office operations, ensuring efficiency and organization.
  • Maintain accurate records of customer transactions, invoices, and service history.
  • Manage office supplies and inventory, ensuring availability as needed.
  • Handle incoming calls, emails, and walk-in inquiries professionally and promptly.
  • Assist with scheduling and coordinating service appointments.
  • Support management in preparing reports, budgets, and forecasts.
  • Serve as the primary point of contact for customers needing service, providing friendly and knowledgeable support.
  • Create detailed work orders based on customer requests, including problem descriptions and service needs.
  • Liaise between customers and technicians to ensure accurate communication of repair or maintenance requirements.
  • Provide cost estimates for services and obtain customer approval before proceeding.
  • Monitor progress on service jobs and keep customers updated on timelines.
  • Review completed work orders with customers, explaining services performed and charges incurred.

Requirements

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Previous experience in office administration, service writing, or a related field, ideally in the marine or automotive industry.
  • Knowledge of boats, marine systems, and related terminology is a strong plus.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency with office software (e.g., Microsoft Office Suite) and service management systems.
  • Customer-focused mindset with a professional and friendly demeanor.

Nice-to-haves

  • Experience with inventory management and billing systems.
  • 1 year of experience in office management (Required).
  • 1 year of experience with Microsoft Office (Preferred).
