About the position

The Marketing Administrative Assistant will provide essential support to the Chief Marketing Officers (CMOs) of an international law firm. This role encompasses a variety of administrative and marketing tasks aimed at ensuring the smooth operation of the CMOs' schedules and communication needs. The position is highly visible within the firm and operates on a hybrid schedule, allowing for both in-office and remote work.

Responsibilities

  • Manage CMOs' schedules, including meetings, appointments, and travel arrangements.
  • Act as primary contact for CMOs, handling correspondence, calls, and stakeholder communications.
  • Prepare and edit documents, presentations, and reports.
  • Coordinate meetings, videoconferences, and special events, managing logistics and materials.
  • Maintain marketing and departmental calendars, documents, and staff information.
  • Process invoices and expense reports via Chrome River.
  • Cover phone and scheduling duties for directors as needed.
  • Assist with departmental resources and employee recognition programs.
  • Greet visitors and guests in Chicago.

Requirements

  • Bachelor's degree preferred.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • At least 5 years of experience in an administrative role, ideally within professional services.
  • Strong project management and organizational skills.
  • Experience with Microsoft Visio preferred.
