About the position

The Marketing Administrative Coordinator at Kelly Services will support the Global Strategic Marketing and Services teams by managing administrative tasks, organizing meetings, and ensuring timely execution of marketing initiatives. This entry-level position requires strong organizational skills and the ability to communicate effectively with various stakeholders, including cross-functional partners and vendors. The role is designed for individuals who are detail-oriented and can handle multiple projects simultaneously in a fast-paced environment.

Responsibilities

  • Assist in the development, management, and execution of Global Strategic Marketing initiatives.
  • Manage administrative tasks to ensure the GSM and Services team runs smoothly.
  • Organize and execute monthly team meetings and quarterly global marketing council calls.
  • Participate in cross-functional calls, take detailed notes, and summarize next steps for the team.
  • Prepare and submit materials for medical, legal, regulatory, and compliance reviews.
  • Communicate with materials reviewers to ensure deadlines are met.
  • Identify calendar opportunities for cross-functional meetings and organize invites.
  • Support logistics and billing for GSM and Professional Affairs strategic communications activities.
  • Project manage defined GSM and Professional Affairs activities, leading all project communication.
  • Create Purchase Orders and manage invoice tracking documents.
  • Manage vendors and agency partners, including international KOL logistics.

Requirements

  • Bachelor's degree required (Marketing or related field).
  • 4+ years of marketing coordinator experience, preferably in the Pharma/Medical Device industry.
  • Self-starter who proactively seeks solutions for positive outcomes.
  • Strong organizational skills with the ability to multi-task various projects.
  • Proficient in Microsoft Office and Google Apps, with experience in tracking budgets and marketing deliverables.
  • Knowledge of Veeva Vault and Microsoft Dynamics is preferred.
  • Keen marketing sense and ability to thrive in a busy environment.
  • Team player who can collaborate cross-functionally and adapt to change.
