About the position

The Marketing Administrative Coordinator will support the Global Strategic Marketing and Services teams at a leading pharmaceutical company. This role involves managing administrative tasks, coordinating meetings, and ensuring timely execution of marketing initiatives. The coordinator will work closely with various stakeholders to facilitate communication and project management, contributing to the overall success of marketing activities.

Responsibilities

  • Manage administrative tasks for the GSM and Services team to ensure smooth operations.
  • Organize and execute monthly team meetings and quarterly global marketing council calls.
  • Participate in cross-functional calls, taking detailed notes and summarizing next steps for the team.
  • Prepare and submit materials for medical, legal, regulatory, and compliance reviews.
  • Communicate with materials reviewers to ensure deadlines are met.
  • Identify and organize calendar opportunities for cross-functional meetings.
  • Provide organization and on-site support for GSM events at conferences.
  • Oversee logistics and billing for strategic communications activities globally.
  • Project manage defined GSM and Professional Affairs activities, leading communication and risk mitigation.
  • Create Purchase Orders and manage invoice tracking documents.
  • Manage vendors and agency partners, including international KOL logistics.

Requirements

  • Bachelor's degree required (Marketing or related field).
  • 4+ years of marketing coordinator experience, preferably in the Pharma/Medical Device industry.
  • Self-starter with proactive problem-solving skills.
  • Strong organizational skills with the ability to multi-task.
  • Proficient in Microsoft Office and Google Apps.
  • Knowledge of Veeva Vault and Microsoft Dynamics is preferred.
  • Keen marketing sense and ability to thrive in a busy environment.
  • Team player with flexibility to adapt to change.

Nice-to-haves

  • Experience in the pharmaceutical or medical device industry.
  • Familiarity with budget tracking and monitoring marketing deliverables.
