About the position

We are seeking an experienced and skilled Event Coordinator to join our team at Wild Stallion Vineyards. The ideal candidate will be responsible for planning, organizing, and executing various events and functions, ensuring a seamless experience for our guests. The Event Coordinator will work closely with our clients to understand their needs and preferences, providing exceptional customer service and ensuring that all events meet our standards. The standard work week is Tuesday through Saturday, with Sunday and Monday as your off days. In this role, you will coordinate the planning and execution of events, including weddings, corporate events, and banquets, from conception to conclusion. You will be responsible for updating the CRM with all leads and opportunities, managing all social media accounts and the website, and collaborating with vendors, including caterers, hotels, and florists, to ensure that all elements of the event are executed according to plan. Additionally, you will assist in the daily operation of the vineyard and tasting room, which requires a valid TABC certificate. You will track KPIs and adjust marketing efforts as needed, manage event logistics, including seating arrangements, audiovisual equipment, and transportation, and oversee event setup and teardown, ensuring that all equipment and supplies are properly stored and that the venue is left in good condition. Developing and implementing effective marketing and promotional strategies to attract clients and drive event attendance will also be a key responsibility. Conducting site visits and walk-throughs to ensure that the event space is prepared and that all necessary equipment and supplies are available is essential. Furthermore, you will develop and manage event marketing materials, including print and digital advertising, social media campaigns, and email marketing, while providing event coordination support to other departments, such as hospitality, culinary, and operations.

Requirements

  • CRM experience
  • Strong organizational skills, with the ability to manage multiple events simultaneously.
  • Excellent communication and customer service skills, with the ability to effectively communicate with clients and vendors.
  • Knowledge of market trends and consumer preferences in event planning.
  • Experience with fundraising events or charity functions is a plus.
  • Familiarity with hospitality and wine is an asset.
  • Experience with event planning software, such as Eventbrite or Constant Contact, is an advantage.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills, with the ability to think critically and creatively.
  • 5-10 years experience preferred.
