About the position

The Marketing & Office Coordinator plays a crucial role in supporting the Community Foundation of Utah's mission by enhancing brand awareness, managing office administration, and facilitating community engagement through various marketing and event management activities. This position requires a dynamic individual passionate about philanthropy and community development, who can effectively juggle multiple responsibilities while fostering key relationships within the community.

Responsibilities

  • Execute marketing activities to increase CFU's brand awareness and promote services to new audiences.
  • Implement LinkedIn marketing activities.
  • Draft and send email newsletters to donors, nonprofits, and other audiences.
  • Update website as needed.
  • Develop thought leadership and community highlights blog content.
  • Create print mail materials such as flyers, cards, and other donor communications.
  • Support Marketing Manager as needed.
  • Provide graphic design support as needed.
  • Support CFU events and develop event marketing materials such as invitations, order forms, and agendas.
  • Brand slide decks and other presentation materials.
  • Assist with event set-up and take down for branded banners, tablecloths, and tech as needed.
  • Coordinate Continuing Education Presentations and send marketing campaigns to prospective firms.
  • Coordinate presentation scheduling with guest speakers and support Annual Board Retreat and Luncheon.
  • Select and manage bookings with venues and/or catering.
  • Coordinate Board and Committee members, staff, and guest speaker arrivals.
  • Create ice-breaker activities, community building content, and take-home materials.
  • Source and/or design co-branded gifts for Board and Committee members.
  • Manage memberships, certifications, registrations, and vendors.
  • Schedule appointments and manage office calendar.
  • Order office supplies and manage mail.
  • Provide support to the Chief Executive Officer, including clerical assistance.
  • Respond to phone and email inquiries and schedule meetings as needed.
  • Support IT vendor; general IT requests & needs.
  • Perform general office administration duties or special projects as needed.
  • Support the quarterly Board meetings and work with the CEO to schedule meetings with the Board and Committees.
  • Coordinate agenda and meeting material preparation with the CEO and additional staff.
  • Manage online meeting rooms and troubleshoot technological difficulties with meeting attendees.
  • Collect official documents from Board and Committee members as needed.

Requirements

  • A passion for community-driven philanthropy to solve community challenges.
  • A minimum of two years' work experience in a professional office environment.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent research, writing, editing, and communication skills.
  • Outstanding interpersonal skills and a desire to connect with community members, staff, and CFU's Board of Directors.
  • A desire to learn and grow with a 'can do' attitude, broadening skill set and knowledge.
  • Facile with core Microsoft programs and a high level of digital literacy.
  • Willingness to work occasional evenings or weekends.
  • Data collection and evaluation experience is a plus.

Nice-to-haves

  • Experience in event management and coordination.

  • Knowledge of grantmaking processes and financial information application.
