About the position

The Marketing and Sales Coordinator at Trillium Woods plays a crucial role in ensuring a seamless transition for new residents while supporting the marketing efforts of the community. This position focuses on hospitality and customer relations, requiring strong organizational skills and the ability to manage various administrative tasks related to marketing and sales activities.

Responsibilities

  • Answer and direct incoming phone calls and manage the lead distribution system.
  • Greet and serve all visitors to the marketing office aligned with the Extraordinary Impressions program.
  • Plan and implement all elements of marketing events within the approved budget.
  • Process all deposits, cancellations, transfers, and other documents.
  • Maintain LCS systems impacting marketing, including Salesforce and C3LinC.
  • Produce reports as needed from systems.
  • Process invoices and track department budget.
  • Manage the office by tracking inventory and ordering supplies and materials.
  • Oversee the office schedule, including events, staff schedules, and appointments.
  • Update community social media in conjunction with agency partners, managing video content and postings.
  • Create wait list newsletters and activities to engage wait list members.
  • Prepare all closing documents and assist buyers with necessary paperwork.
  • Manage new resident orientation and provide coverage in the marketing office for sales activities as needed.
  • Coordinate with the Plant Operations team for construction and pricing related to prospective residents' requests.
  • Serve as the main point of contact for prospective customers regarding progress.
  • Attend weekly RSG meetings and assist prospective residents in planning for their move.

Requirements

  • Administrative degree with a minimum of three years related work experience.
  • Strong organizational skills.
  • Experience in event planning and execution.
  • Experience in a professional office setting or hospitality environment with excellent communication and customer relations skills.
  • Proficient in Microsoft Office applications and video platforms such as Facebook, Instagram, Constant Contact, and Zoom.

  • Competitive salary starting at $46,000.00 per year based on experience.
