About the position

At RingCentral, we are excited to welcome a talented individual to join our Marketing Budget & Procurement Operations team as a Marketing Budget & Procurement Operations Manager. This role is pivotal in ensuring that our Marketing team executes its spend plan effectively and efficiently. The successful candidate will be responsible for the monthly and quarterly facilitation and execution of the Marketing spend plan, managing the Marketing Systems vendor portfolio, and overseeing a team of five Marketing Budget & Procurement Operations members. This position requires close collaboration with marketing leaders, budget owners, and partners in Finance, Legal, Procurement, and Accounts Payable to ensure alignment and success in our financial operations. The Marketing Budget & Procurement Operations Manager will manage the vendor portfolio for Marketing Systems, which includes maintaining the vendor database, initiating renewal conversations, and exploring alternative vendor options. This role will also involve negotiating vendor rates in partnership with procurement to maximize ROI from vendor spend. Additionally, the manager will work closely with Finance counterparts to produce an Annual Operating Plan, complete quarterly spend plans, and design effective budgeting policies and procedures. The role requires optimizing budget management tools to integrate seamlessly with financial systems and processes. In collaboration with Analytics counterparts, the manager will plan and execute the quarterly spend and KPI forecasting process, ensuring that forecasting models are comprehensive and user-friendly. Training and enabling the marketing team on the procurement and budget management process is also a key responsibility. The manager will coach and upskill a team of analysts who handle daily operations for the global marketing budget, ensuring accurate reporting and compliance with financial processes. To excel in this role, candidates must have a strong background in managing marketing budgets and strategic planning, particularly in a fast-paced tech environment. Strong interpersonal skills are essential for building relationships with various stakeholders, and candidates should be comfortable navigating ambiguity and changing priorities. Excellent communication skills, project management abilities, and a passion for continuous improvement are also critical for success in this position.

Responsibilities

  • Manage the Marketing Systems vendor portfolio, including maintaining the vendor database for Marketing & Marketing Systems.
  • Initiate renewal conversations and/or alternative vendor explorations with business owners well in advance of renewal dates.
  • Partner with procurement to negotiate vendor rates and increase ROI from vendor spend.
  • Work with business owners and procurement to evaluate potential new vendors.
  • Produce an Annual Operating Plan in partnership with Finance counterparts.
  • Complete quarterly spend plans with inputs from marketing budget owners and leadership.
  • Design effective budgeting policies and procedures and lead training & implementation.
  • Optimize budget management tools to best integrate with financial systems and processes.
  • Partner with finance, procurement & IT to develop Procure to Pay system requirements and financial reporting tools.
  • Plan and execute the quarterly spend & KPI forecasting process with Analytics counterparts.
  • Generate comprehensive forecasting models that incorporate all required metrics.
  • Train & enable the marketing team on the end-to-end procurement and budget management process.
  • Coach & upskill a team of analysts responsible for managing daily operations for the global marketing budget.
  • Ensure the Marketing budgeting system reflects the most accurate and up-to-date in-quarter spend forecast.
  • Highlight potential plan variances before they occur with budget owners.
  • Own all new vendor setup requests in partnership with accounts payable.
  • Confirm invoices, spend, and taxability are categorized accurately for reporting.
  • Reconcile all transactions & partner with finance to ensure accurate accruals and monthly/quarterly close.

Requirements

  • 5 years of experience in marketing operations, revenue operations, and/or finance.
  • Experience managing marketing budgets and strategic planning, preferably at a fast-growing, matrixed tech company.
  • Strong interpersonal skills, including establishing credibility, trust, and building influential relationships with Marketing, Finance, and Analytics partners.
  • Comfort with ambiguity and working in a fast-paced team with changing priorities.
  • Strong planning, analytical, communications, decision-making, lateral thinking, influencing, interpersonal and project management skills.
  • Experience in scalable process design and project management with a passion for continuous improvement.
  • Excellent communication skills with experience presenting complex challenges and recommendations to senior leaders.
  • Highly organized and autonomous.
  • Understanding of marketing business concepts and processes and how that relates to the budgeting and planning cycles.
  • Experience defining strategies to improve return on investment and driving implementation of associated metrics, datasets, and dashboards.
  • Extensive knowledge of Excel or Google Sheets with advanced knowledge of pivot tables, lookups, and logical functions.
