About the position

Klein & Hoffman (K&H) is seeking a Marketing Coordinator to support our dynamic and innovative marketing team! This position offers a hybrid schedule, requiring three days in the office and two days of remote work, with flexible working hours. The Marketing Coordinator will support the firm's offices located in Chicago, Philadelphia, and Milwaukee. In this role, you will work closely with the Director of Marketing and collaborate with our engineering, architectural, and administrative teams. Your primary responsibility will be to support the marketing department in developing and maintaining a comprehensive range of marketing materials and resources. This includes proposals, brochures, case studies, resumes, templates, images, intranet and website content, contacts, and promotional items. We are looking for candidates who exhibit both proficiency and enthusiasm for learning about professional services marketing. A self-starter attitude is essential, as you will dive into various tasks ranging from proposal development and presentations to brainstorming, branding, and managing our content library. As a Marketing Coordinator, you will be responsible for efficiently handling multiple priorities and tasks in a deadline-driven environment, ensuring their completion with a strong emphasis on detail and quality. This position is not focused solely on digital marketing; rather, it offers an opportunity to assist in managing the entire marketing department and serve as the point person for all marketing-related inquiries from K&H team members. Frequent collaboration and communication with all team members throughout the organization are crucial, so the ability to connect and engage with people from diverse backgrounds is a must. Responsibilities

  • Oversee the proposal response process, collaborating with the assigned Project Principal and project team to assemble high-quality, professional proposal deliverables.
  • Develop and coordinate business development client presentations and proposal shortlist interview presentations in partnership with the project team, ensuring clear and impactful messaging.
  • Maintain the content library by ensuring all marketing collateral is up-to-date and consistently adheres to brand standards.
  • Research new leads while organizing and maintaining marketing inventory, keeping an eye on current trends and opportunities.
  • Provide support to K&H team members by supplying the required merchandise for tradeshows and events, as well as coordinating booth layout and setup.
  • Assist the Director of Marketing and HR Manager with internal events, including planning, setup, and production.
  • Create engaging social media posts for the content calendar and publish them across the firm's social platforms, reinforcing our brand's professional online presence.
  • Attend proposal-kickoff meetings and assist with the preparation of proposal materials, including gathering, verifying, and ensuring that the various aspects of proposals, resumes, and project sheets are accurate and delivered in a timely manner.
  • Lead the development of proposal materials including coordination and production of deliverables across all stages of the process.
  • Work with the Director of Marketing to prepare responses to RFPs/RFQs and to assemble high-quality custom packages and presentations.
  • Organize, update, and format marketing collateral (resumes, case studies, project lists, organizational charts, etc.), while maintaining consistency, quality, and corporate branding.
  • Create and update resumes, portfolio pages, presentations, and related marketing materials using our design templates as inspiration and working within our brand standards.
  • Participate in the development of collateral that supports our markets, offices, and services.
  • Provide marketing research for overall market/office strategy, as well as for individual clients and pursuits.
  • Provide administrative support for the marketing department including disseminating information, data entry, proofreading, filing, copying, and sending out packages.
  • Update and maintain our CRM system and leverage its reporting capabilities.
  • Maintain marketing files and collateral inventory.
  • Establish and maintain effective and collaborative working relationships with senior management and staff.
  • Assist with managing the company's brand through social media outlets.

Requirements

  • Bachelor's degree in marketing or related field.
  • A minimum of 2 years of marketing experience with a professional services firm; A/E/C industry preferred.
  • Highly motivated, takes initiative, and thrives in a fast-paced environment.
  • Strong interpersonal skills, with the ability to confidently and effectively communicate and engage with people from diverse backgrounds in both one-on-one and group settings.
  • Conscientious and flexible, with a strong work ethic and team-player attitude.
  • Strong time management, prioritization, and customer service skills.
  • Excellent written and verbal communication skills; ability to adapt to different communication styles and apply corporate brand guidelines.
  • Intermediate to expert experience with Adobe InDesign, Microsoft Office, and PowerPoint.
  • Awareness of software such as Photoshop, Illustrator, and Deltek Vision.

Nice-to-haves

  • Experience in the A/E/C industry is preferred.
  • Familiarity with social media marketing strategies.
