About the position

The Marketing Coordinator - III (Senior) position at Intelliswift Software Inc. is a hybrid role based in Rahway, NJ, focused on supporting the Global Marketing team in the pharmaceutical and healthcare advertising sector. The coordinator will manage the Promotional Material Review process, ensuring compliance with content standards and facilitating collaboration among cross-functional teams. This role requires strong operational skills, attention to detail, and the ability to prioritize tasks effectively while supporting multiple brands across business units.

Responsibilities

• Manage all operational aspects of the Promotional Material Review process for multiple brands across business units.
• Coordinate review timelines with Marketing teams.
• Perform preliminary material assessments for readiness to submit to Promotional Material Review.
• Assign the appropriate reviewer for Promotional Material Review across cross-functional stakeholders in line with global policies.
• Enforce content standards and compliance with best practices and SOPs.
• Coordinate and follow up with stakeholders to ensure materials are moving forward in alignment with agreed upon timelines.
• Schedule, lead, and manage productive cross-functional Promotional Material Review meetings.
• Utilize system reporting to communicate and actively manage open tasks.
• Provide process guidance and training to reviewers involved with Promotional Material Review.
• Assess reviewer outcomes for appropriate next actions.
• Request production files from agency partners.
• Escalate identified reviewer bottlenecks to the Global Marketing Lead.
• Move finalized materials to Approve for Distribution.
• Perform preliminary assessments on content submitted for renewals to ensure compliance with content standards.

Requirements

• Minimum of 1-year marketing operations experience.
• Excellent verbal communication skills.
• Strong operational, process, and task-driven mindset.
• Ability to prioritize workload and work effectively in a team environment.

Nice-to-haves

• Bachelor's degree preferred but not required.
• Experience working in a pharmaceutical or healthcare advertising environment.
• Familiarity with promotional review systems such as Veeva or Zinc strongly preferred.
• General understanding of pharmaceutical advertising and promotion.
