About the position

The Marketing Coordinator at Ware Malcomb plays a crucial role in supporting the firm's marketing functions across various platforms. This position involves collaborating with the Corporate Marketing Team to strategize and execute proposals, presentations, and other marketing materials, while also enhancing the firm's visibility in the market through various communication channels. The role requires a proactive individual who can manage multiple tasks and work effectively with different teams across the Americas.

Responsibilities

  • Work with Marketing Leaders and Technical Staff to strategize and execute Request for Proposals, Request for Qualifications and Client Presentations.
  • Lead interview preparation process.
  • Serve as Marketing main point of contact for designated offices.
  • Hold monthly touch base meetings to support overall marketing efforts and increase market visibility through media, press, photography, etc.
  • Be responsive to requests, promptly coordinate assignment with a scheduler and understand the key market types/projects in your region.
  • Responsible for maintaining library of professional project photography on asset management site (OpenAsset).
  • Assist BD leaders in adopting and using marketing technologies (such as HubSpot, OpenAsset and Vantagepoint) and ensuring processes are being implemented.
  • Assist with new team member onboarding.
  • Create project descriptions, case studies and blog posts.
  • Establish relationships with other marketing team members.
  • Provide mentorship to junior team members and engage them in company/team culture events.
  • Produce customized brochures for various offices and upload them to intranet site.
  • Coordinate professional photography of headshots and projects, including contracts and cost-sharing.
  • Updating of marketing content on website and social intranet.
  • Content creation, posting, and monitoring of regional social media channel.
  • Information gathering and client approval requests for project and personnel press releases for various offices.
  • Coordination, production and distribution of external communications (flyers, advertisements, emailers, video, etc).
  • Lead preparation of award submittals and firm rankings.
  • Drive or lead a marketing initiative from our annual action plan.
  • Assist with research, collateral development and execution of marketing initiatives for new services and offices.
  • Assist in client, competition, media and trends research.
  • Data entry in Deltek VantagePoint and CRM database including client, project and employee information.
  • Track and register Business Development Leaders for industry association events and conferences.
  • Provide QA/QC review of fee proposals.

Requirements

  • Minimum of 4 years of marketing experience in the AEC or professional services industries.
  • Bachelor's Degree in Business, Marketing, Communications or related field of study.
  • Expertise with Adobe InDesign and Microsoft Office software programs.
  • Experience with proposal/technical writing preferred.
  • RFP/pursuit strategy expertise with client focused mentality.
  • Experience in A/E/C industry a plus.
  • Experience with Deltek Vision Database, HubSpot CRM and video editing a plus.
  • Excellent written, verbal and interpersonal communication skills.
  • Self-starter/proactive.
