About the position

The Marketing Coordinator is essential in maintaining smooth operations within the marketing team, ensuring that all communications, data, and documentation are handled efficiently and effectively. This role plays a key part in organizing and distributing marketing materials, managing correspondence, and supporting the sales process through accurate record-keeping and database management. The Marketing Coordinator will be responsible for creating and maintaining marketing files, preparing minutes and correspondence, and coordinating the mailing of marketing materials such as introduction packets, invitations, and newsletters. Additionally, the coordinator will prepare and distribute marketing reports, manage incoming calls, and perform routine clerical tasks to support the team. In this position, the Marketing Coordinator will also be tasked with performing data entry in the sales database, ensuring that all sales and customer data is accurate and up-to-date. The role includes supporting the sales process by organizing and processing sales and admission documents, conducting tours for prospective clients, and providing administrative support throughout the sales process. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple projects in a fast-paced environment. The Marketing Coordinator will work closely with the marketing and sales teams to ensure that all operations run smoothly and efficiently, contributing to the overall success of the marketing initiatives.

Responsibilities

  • Create and maintain marketing files by organizing, updating, and managing all marketing-related documents and files.
  • Prepare minutes, correspondence, and other materials by recording meeting minutes and drafting letters and emails as required.
  • Mail introduction packets, invitations, newsletters, etc., by coordinating the mailing and distribution of marketing materials.
  • Prepare and distribute marketing reports by compiling, formatting, and disseminating regular reports on marketing activities and performance metrics.
  • Answer calls and respond to requests by managing incoming calls and providing information or directing inquiries to the appropriate team members.
  • Perform routine clerical tasks including copying, filing, faxing, and other office-related duties.
  • Perform data entry in the sales database by accurately entering and updating sales and customer data.
  • Support the sales process by assisting in organizing and processing sales and admission documents.
  • Conduct tours for prospective clients or visitors, providing detailed information about the facilities and services.
  • Assist with clerical functions in the sales process by providing administrative support from initial contact to document finalization.

Requirements

  • Bachelor's degree in Marketing, Communications, or a related field.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite applications.
  • Proficiency in digital marketing tools and platforms.
