About the position

MP Engineers and Architects is a multi-disciplinary Engineering/Architecture firm located in downtown New York City, seeking a Marketing Coordinator to join our team. The ideal candidate will be a self-motivated and detail-oriented individual with strong problem-solving skills. This role involves coordinating and managing various proposal and marketing activities, ensuring that all submissions are compliant and of high quality. The Marketing Coordinator will prepare responses to Requests for Information (RFIs), Requests for Proposals (RFPs), and Requests for Qualifications (RFQs), developing outlines for go/no-go decisions, and facilitating kick-off meetings and debriefs. A critical part of the role is performing self-checks of work before submitting it for review and approval, as well as facilitating color reviews (Pink & Red team) and quality reviews to enhance the value of proposals. In addition to proposal preparation, the Marketing Coordinator will be responsible for preparing pre-qualification submissions for various City and State agencies, as well as creating and maintaining marketing collateral materials such as resumes, project sheets, and brochures. The role also includes seeking new procurement opportunities by monitoring relevant websites and RFP advertisements, entering data into E-Management, and providing general marketing support and administrative tasks as required. The successful candidate will thrive in a fast-paced environment, demonstrating strong communication skills and the ability to work both independently and collaboratively with the team.

Responsibilities

  • Coordinate and manage proposal and marketing activities
  • Prepare compliant responses to RFIs/RFPs/RFQs, developing outlines for go/no-go's, kick-off meetings, and debriefs
  • Perform self-checks of work prior to submitting to others for review/approval
  • Facilitate color reviews (Pink & Red team), quality reviews, and apply lessons learned to proposals
  • Prepare pre-qualification submissions for various City and State agencies
  • Prepare shortlist/interview presentations
  • Maintain Government Standard Forms, i.e. SF330, 255
  • Create, update, and maintain marketing collateral material including resumes, project sheets, and brochures
  • Seek new procurement opportunities through monitoring of websites and RFP advertisements and enter data into E-Management
  • Provide general marketing support and/or other administrative tasks as required

Requirements

  • Bachelor's degree or equivalent in Marketing, Communications, English or a related field
  • Minimum 3 years of marketing/proposal preparation experience preferably within the A/E/C industry
  • Proficiency in Adobe InDesign, additional Adobe product knowledge a plus
  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, Outlook, Teams
  • Strong communication skills
  • Excellent writing, editing, and research skills
  • Strong attention to detail
  • Ability to work both independently and in a collaborative environment
  • Capable of working efficiently in a deadline-driven environment while maintaining accuracy and quality
